This policy explains how we collect and use personal data when you visit thoughtlogik.com, contact us, use our services or apply to work with us, in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
2. Information we collect
Information you give us
- Contact details such as your name, job title, company, email address and phone number when you complete a form, book a consultation, subscribe to our newsletter or email us.
- Conversation records from live chat, calls, meetings and emails.
- Project information you share with us while we deliver services to you.
- Recruitment information such as your CV and employment history if you apply for a role.
Information we collect automatically
- Technical data such as IP address, browser type, device and approximate location.
- Usage data such as the pages you visit, how long you stay and how you arrived on our site.
We do not intentionally collect special category data (for example health or religious beliefs) through our website.

We only use personal data where we have a lawful basis to do so:

We will only send you marketing emails where you have agreed to receive them, or where you are an existing client and the content relates to similar services. Every email includes an unsubscribe link, or you can email info@thoughtlogik.com to opt out.
6. Who we share your information with
We share personal data only where necessary and with organisations bound by appropriate confidentiality and data protection terms:
- Our own team, including colleagues at our delivery centre in Coimbatore, India.
- Service providers who support our business, such as Zoho (CRM, live chat, recruitment and email), Google (analytics and advertising), our website hosting provider and IT support providers.
- Professional advisers such as accountants, lawyers and insurers.
- Authorities where we are required to do so by law.
- A buyer or successor if we sell or transfer all or part of our business.
7. International transfers
Some of our team and service providers are based outside the UK, including in India and the European Economic Area. When we transfer personal data outside the UK, we make sure it is protected by an adequacy decision or by safeguards approved under UK law, such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
8. How we keep your information secure
Thoughtlogik is certified to ISO 27001 for information security and holds Cyber Essentials certification. We use access controls, encryption and staff training to protect personal data. No internet transmission is completely secure, but we take reasonable steps to protect the information you share with us.
9. How long we keep your information
We keep personal data only for as long as we need it:

11. Complaints
If you have concerns about how we handle your data, please contact us first so we can put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
12. Third-party websites
Our website may link to other websites, such as Zoho, Odoo and social media platforms. We are not responsible for their privacy practices, so please review their own privacy policies.
13. Children
Our website and services are intended for businesses and are not directed at children. We do not knowingly collect personal data from children.

We may update this policy from time to time. The latest version will always be published on this page, with the date it was last updated shown at the top.
