The bigger picture
A growing market with rising expectations.
Revenue is up across advice and broking, and so is the bar for evidencing good customer outcomes.
Sound familiar?
What we hear from advice firms and brokers.
The advice is good. Proving it, consistently and quickly, is the hard part.
Evidence for Consumer Duty
Outcome monitoring and fair value evidence sits across back office systems, inboxes and spreadsheets, so board reports take days to assemble and are hard to defend.
Slow, manual onboarding
Fact-finds, ID documents and terms of business are chased by email and re-keyed, delaying the first advice meeting and frustrating new clients.
Gaps in the audit trail
When a file review or complaint lands, it is hard to show who changed what, when, and which disclosure the client actually signed.
Missed reviews and renewals
Annual reviews, remortgage dates and policy renewals live in diaries and personal reminders, so revenue and client outcomes slip.
Disconnected client service
Queries and complaints arrive by phone, email and post with no shared queue, so response times and root causes are invisible.
Personal data sprawl
Sensitive client data is copied into attachments and local folders, making UK GDPR requests and access control harder than they should be.
Every missing note, late review or unsigned document is a risk to the client and to your firm.
Follow one client
Follow one client from first enquiry to ongoing service.
Pick a stage and switch between how it runs today and how it runs in Zoho.
Enquiry
Web and referral leads land in shared inboxes and some are never followed up.
Pick a stage, or switch between Today and With Zoho.
2-minute readiness check
Is your firm outgrowing its systems?
Five quick questions for an honest view of whether Zoho would pay back.
- Are fact-finds still completed on paper or PDF?
- Would pulling the evidence for one client file take more than ten minutes?
- Are annual reviews tracked in a spreadsheet or calendar?
- Do client emails live in individual inboxes?
- Do you use separate tools for e-signatures, forms and bookings?
One system
One client record from enquiry to review.
Advice, compliance and service teams working from the same information.
Zoho, set up for advice firms
Capture, advise, approve, sign and review on one auditable client record.
The solution
Everything an advice firm needs.
Standard Zoho apps, configured by Thoughtlogik around your advice and compliance process.
Advice process with guard rails
Turns your advice or lending process into enforced stages with conditions, automation and escalations, so every file follows the same checked path.
Consent and data rights
Record consent, tag each contact with one of the six lawful bases and handle access, rectification, portability, restriction and erasure requests from one place.
Signatures with a full audit trail
Every view, send and signature is logged, giving you a defensible record of what the client agreed to and when.
Secure digital fact-finds
Collect client data and documents securely with field-level encryption, then push submissions into CRM automatically.
Controlled document storage
Keep client files in governed team folders with unlimited version history and a full record of who accessed or changed them.
Client self-booking
Clients book reviews and first meetings themselves, and every appointment is reflected in CRM with automated reminders.
Complaints and service with SLAs
Bring phone, email and web queries into one queue with SLA timers, so complaints and requests are tracked and never sit unattended.
MI dashboards for the board
Blend CRM, Desk and finance data into outcome and value dashboards that are emailed to management on a schedule.
Custom apps for your edge cases
Build bespoke suitability, file review or broker panel apps that log old and new values, who changed them and every export.
Compliance
Regulation built into the workflow.
Zoho does not make you compliant on its own, but it captures the evidence and enforces the steps your policies require.
In force since 31 July 2023, the Duty requires regulated firms to put customers' needs first and to monitor and evidence good outcomes.
Zoho CRM, Desk and Analytics help you capture service, complaint and review data in one place and report on outcomes, giving your board clearer evidence; the judgement and accountability remain with your firm.
Firms must have a lawful basis for processing personal data and respond to subject access requests within one month of receipt.
Zoho CRM records consent and lawful basis per contact and supports data subject rights requests, with AES-256 encryption for stored data, which helps you meet your obligations.
Firms must keep orderly records of their business, services and transactions sufficient for the FCA to monitor compliance.
CRM history, Zoho Sign audit trails, WorkDrive version history and Creator audit logs help you keep complete, retrievable records; retention policies still need to be defined by your firm.
Integrations
Connected to the tools your advisers already use.
Email, calendars, telephony and checks, all landing on the client record.

FAQs
Questions advice firms ask us
Straight answers to the questions advice firms ask us most. Something else on your mind? Ask a consultant.
Does Zoho replace our adviser back office or platform?
Usually not. We position Zoho as the client relationship, workflow and service layer around your existing back office, platforms and lender portals. That keeps your regulated records where they belong while giving advisers, paraplanners and admin one shared view of every client.
Can Zoho help us evidence Consumer Duty?
Zoho helps you capture the data you need, such as reviews completed, service response times and complaints, and report it through Zoho Analytics dashboards. It does not make you compliant on its own. We design the data model and reports with your compliance team so the evidence is consistent.
How does Zoho handle UK GDPR?
Zoho CRM lets you record consent and lawful basis against each contact and manage access, erasure and other data subject requests. Sensitive fields can be restricted by role and stored data is encrypted. As an ISO 27001 certified partner, we configure access so people only see what they need.
Can we keep a full audit trail of client agreements?
Yes. Zoho Sign logs every view, send and signature and files the signed copy, while WorkDrive keeps version history and activity logs. Together with CRM history this gives you a clear record of what each client agreed to and when.
We are a mortgage and protection broker. Can Zoho track renewals?
Yes. We set up fields for product end dates and policy renewals with automated CRM workflows that create tasks and send reminders months ahead. Pipeline views then show your retention opportunities by adviser.
Can Zoho check companies and credit for commercial clients?
Our own Zoho CRM extensions verify businesses against Companies House and run Creditsafe credit checks from inside the CRM record. This is useful for insurance brokers and specialist lenders onboarding business clients.
How much does Zoho cost in the UK?
Zoho is priced per user, ex VAT. At October 2026, Zoho One costs £37 per employee per month on annual billing with All Employee pricing, or £80 per user per month with Flexible User pricing. Zoho CRM on its own runs from £12 (Standard) to £42 (Ultimate) per user per month on annual billing. Implementation is scoped separately after a free process review, so you know the full cost before you commit.
Where is our Zoho data hosted?
UK customers are normally set up on Zoho's EU data centres, with Amsterdam as primary and Dublin as secondary, on the zoho.eu domain. Zoho does not sell or advertise on customer data, and we configure roles, profiles, field-level security and two-factor authentication as part of every implementation.
