Zoho One bundles Zoho's business apps, including CRM, Books, Desk, Projects, People, Creator and Analytics, under one licence. There are two ways to buy it. Prices are UK list prices billed annually, ex VAT, checked September 2026. Check Zoho One pricing for current figures.

Which edition fits

Choosing the right Zoho CRM edition or bundle

Most overspend comes from buying the top edition for everyone, and most underspend from a cheap edition that cannot support the processes you need. Match the edition to the job.

Up to 10 users, one sales process

Standard or Professional Zoho CRM is usually enough, often paired with Zoho Books. Professional is worth it if you need quotes, stricter data validation or more automation.

Several teams, territories or complex rules

Enterprise Zoho CRM adds custom modules, advanced roles, sandboxes and scripting. It suits UK firms with separate sales, service and account management teams.

Running the whole business on Zoho

Zoho One is usually the best value once you need CRM, finance, service desk, HR and projects together. It also avoids integration work between separately bought apps.

Hidden costs

Zoho costs that are easy to miss

The per-user price is only part of the Zoho pricing picture. Before you commit, check how your needs map to Zoho's limits on storage, records, automation and API calls. These limits vary by edition and are listed in Zoho's documentation.

User growth is the biggest long-term driver. A 15-person team on Enterprise CRM is a very different annual cost from a 60-person team, and on Zoho One all-employee pricing every new starter adds a licence, whether or not they use it much.

Finally, budget for ownership, not just purchase: someone must administer the system, keep automations working after changes, and train new staff. Many UK clients cover this with a small monthly Zoho support retainer rather than hiring an in-house admin.

What drives Zoho implementation cost in the UK

We do not publish a standard implementation price, because two businesses with the same number of users can need very different projects. We fix the price in a written proposal after a free scoping call, so you know the cost before work starts.

Scope is driven by how many Zoho apps you roll out, how far your processes differ from Zoho's standard setup, how much data you migrate and how clean it is, and how many other systems need to connect. Custom apps on Zoho Creator add build and test effort. Training more teams in more locations adds time too.

Years two and three

Licences for a larger team, support and small improvements. Adding apps you already own under Zoho One costs configuration time, not new software.

Cost of the old way

Compare against what you pay now: separate tools, manual re-keying, spreadsheet reporting and the admin time they absorb.

Cost of switching later

A cheap edition that forces a re-implementation in 18 months is not cheap. Choose an edition that covers the next two to three years.

Practical ways to reduce your Zoho licence bill

Pay annually

Annual billing is cheaper than monthly on Zoho CRM, Zoho One and Zoho Books. Pay monthly only during a trial period or if user numbers are very uncertain.

Right-size the edition

Zoho CRM usually runs one edition across the organisation, so the edition choice multiplies across every user. Do not pay for Enterprise if Professional covers your processes.

Pick the right Zoho One model

All-employee pricing is cheaper per head but covers everyone. Flexible pricing costs more per user but only for those who log in. Run both numbers.

Remove unused users

Leavers and inactive users are a common source of waste. A quarterly licence review keeps counts accurate.

How much does Zoho CRM cost per user in the UK?
Zoho CRM costs £12 (Standard), £18 (Professional), £35 (Enterprise) or £42 (Ultimate) per user per month when billed annually, excluding VAT, as checked in September 2026. A free edition exists for very small teams. Check zoho.com for current pricing before buying.
Is Zoho One cheaper than buying Zoho apps separately?
Usually yes, once you need three or more apps such as CRM, Books and Desk. All-employee pricing is £37 per employee per month, but you must license every employee. If few staff need access, flexible pricing at £80 per user or individual apps may be cheaper.
Does Zoho Books support Making Tax Digital?
Yes. Zoho Books is MTD for VAT compliant and recognised by HMRC, so you can file VAT returns directly from it. Paid plans start at £10 per organisation per month billed annually, ex VAT. We configure VAT schemes, tax rates and the HMRC connection as part of implementation.
Are Zoho prices in the UK shown with or without VAT?
Zoho's UK list prices are shown excluding VAT, and VAT is added to invoices for UK businesses. All prices in this guide are ex VAT. If you are VAT registered you can normally reclaim it, but check with your accountant for your own situation.
How much does a Zoho implementation cost in the UK?
It depends on the apps in scope, process complexity, data migration, integrations and training. We do not quote a standard price because projects vary widely. After a free scoping call we give a fixed-scope written proposal, so the cost is agreed before any work begins.
Can we start on a cheaper edition and upgrade later?
Yes. Zoho lets you upgrade editions without re-implementing, and your data and configuration carry over. The risk is choosing an edition that cannot support a process you need within a year. We check your requirements against edition limits before you buy.
Should we pay for Zoho monthly or annually?
Annual billing is cheaper and suits most businesses once the system is live. Monthly billing makes sense during a pilot or while user numbers are changing quickly. You can usually switch to annual billing once the rollout is complete and the team size is stable.
