How to choose a Zoho partner: a practical buyer guide
Picking the right Zoho partner matters more than picking the right Zoho edition. This guide explains what a Zoho partner is, what the partner tiers really mean, the questions to ask, and the warning signs to watch for. It is written by a Zoho Premium Partner, but it is meant to be useful whoever you hire.
What this guide covers
- What a Zoho partner does and when you need one
- Zoho partner tiers: Authorized, Advanced and Premium
- 12 questions to ask a Zoho partner before you sign
- Red flags, cost models and how proposals differ
- A one-page checklist to compare shortlisted partners
The basics
What is a Zoho partner?
A Zoho partner is an independent consultancy that Zoho has approved to sell, implement and support its software. Partners are not Zoho employees. They are firms like ours that configure Zoho CRM, Zoho One, Zoho Books, Zoho Creator and the rest of the suite around a client's processes, migrate data, build integrations and train users.
Zoho itself focuses on the product and standard support. It does not usually design your sales process, map your chart of accounts or write custom Deluge scripts for you. That is the partner's job.
Do you actually need one?
Not always. A team of five using Zoho CRM out of the box can often set it up themselves. You are likely to benefit from a partner when:
- You are moving from another system and need data cleaned and migrated
- You want several Zoho apps working together, such as CRM, Books, Desk and Projects
- You need integrations with an ERP, website, telephony or finance tools
- Compliance matters: UK GDPR, VAT and Making Tax Digital, or customer security questionnaires
- You have tried to implement Zoho before and adoption stalled
Zoho partner tiers
Zoho partner tiers explained: Authorized, Advanced and Premium
Zoho's consulting partner programme has three tiers. A partner's tier comes from Zoho's partner value scoring, which looks at revenue, customer success, market readiness and engagement with Zoho.
| Tier | What it broadly signals | What it does not guarantee |
|---|---|---|
| Authorized Partner | Entry tier. The firm has onboarded, holds required certifications and has shown early implementation success. | Depth in the specific apps or industry you need |
| Advanced Partner | A higher value score, reflecting a steadier track record of customers, certifications and documented projects. | That the individuals on your project are experienced |
| Premium Partner | Zoho's highest tier, requiring the highest value score. Premium partners typically get a dedicated Zoho account manager and support on larger deals. | That they are the right size or specialism for you |
Tier criteria are set by Zoho and can change. Check the current definitions and find listed partners in the official Zoho partner directory.
Reading the badge
Zoho Premium Partner vs Advanced Partner: does the tier matter?
The tier is a useful first filter. Zoho's scoring rewards customer retention, satisfaction and certifications, not just sales, so a Premium or Advanced badge tells you the firm has a sustained relationship with Zoho and a base of customers who stay.
But a tier is a company-level score. It says little about the specific consultant who will run your project, or whether the firm has done work like yours. A Premium partner that mainly sells licences to small teams may be a worse fit for a 200-user Zoho One rollout than an Advanced partner with deep experience in your sector.
Where the tier genuinely helps
- Escalation: higher-tier partners have closer contact with Zoho, which helps when you hit a product limitation or a support case stalls.
- Continuity: reaching Advanced or Premium usually requires a team, not one person, so there is less key-person risk.
- Certification: tiers reward certified staff, so ask which certifications the people on your project hold.
Treat the tier as the start of your assessment, not the end of it. ThoughtLogik is a UK Zoho Premium Partner, and we would still rather you judge us on the questions below.
Questions to ask a Zoho partner
12 questions to ask before you sign
Ask every shortlisted partner the same questions and compare the answers side by side.
| # | Question | What a good answer looks like |
|---|---|---|
| 1 | Who will actually work on our project, and what are their Zoho certifications? | Named people and roles, with certifications relevant to the apps in scope |
| 2 | What similar projects have you delivered in our industry or size band? | Specific examples and, where possible, a reference you can call |
| 3 | How do you run discovery, and what do we receive at the end of it? | Structured workshops and a written solution design, not straight into build |
| 4 | Is the quote fixed scope or time and materials, and what happens if scope changes? | A clear change-control process with written estimates |
| 5 | Which Zoho apps would you not recommend for us, and why? | Honest pushback, not a list of everything in Zoho One |
| 6 | How will you migrate and clean our existing data? | Mapping, de-duplication, test loads and a reconciliation step |
| 7 | How do you test before go-live? | Test scripts, user acceptance testing and a defined sign-off |
| 8 | What training do you provide, and for whom? | Role-based training plus admin training for your internal owner |
| 9 | What support is available after go-live, and what does it cost? | Hypercare period, then a defined support option with response times |
| 10 | Who owns the configuration, custom code and documentation? | You do, with access to everything and documentation handed over |
| 11 | How do you handle security and data protection? | Named controls; certifications such as ISO 27001 or Cyber Essentials help |
| 12 | Do you sell licences, and how does that affect your advice? | Transparency about licence margin and willingness to right-size users and editions |
Taking over a partly built system? Add: how will you audit what is there before quoting? See Zoho optimisation.
Red flags
Warning signs when choosing a Zoho partner
None of these rules a partner out automatically, but each one deserves a direct question.
A quote before any discovery
A firm price for a multi-app rollout after one short call usually means either padded contingency or a large change-request bill later.
Everything needs Zoho One
Zoho One is excellent value for many firms, but not all. A partner who never suggests a smaller setup may be optimising for licence revenue.
No named team
If the proposal lists a company but not the people, you may meet the salesperson and never see them again.
Heavy custom code by default
Deluge and custom functions are powerful, but configuration should come first. Over-customisation makes upgrades and support harder.
Vague testing and training
"We will test it" is not a plan. Look for test scripts, UAT and a training schedule in writing.
You cannot get admin access
You should own your Zoho organisation, have super-admin rights and receive documentation. Lock-in is a red flag.
Cost models
How Zoho partners price implementation
Licences are paid to Zoho (see our Zoho pricing UK guide). Partner fees depend on scope, and most firms use one of these models.
| Model | How it works | Good for | Watch out for |
|---|---|---|---|
| Fixed scope | Agreed deliverables for an agreed price after discovery | Budget certainty and board sign-off | Scope must be written clearly; changes go through change control |
| Time and materials | Pay for days used at a day rate | Evolving or exploratory work | Costs can drift without regular reporting |
| Phased | Fixed price per phase, such as discovery, then build, then rollout | Larger rollouts and multi-app projects | Make sure later phases are estimated up front |
| Support retainer | A fixed number of days per month after go-live | Ongoing changes, admin help and continuous improvement | Check how unused days and urgent issues are handled |
The biggest cost drivers are the number of apps, the complexity of your processes, integrations, data migration volume and quality, and custom development.
Checklist
Zoho partner checklist to compare your shortlist
Shortlist two or three partners from the Zoho partner directory, referrals and reviews. Run the same scoping conversation with each, then score them against the checklist.
Weight the items that matter most to you. For a regulated or security-conscious business, certifications and data handling may outweigh price. For a fast-growing sales team, speed to value and training may come first.
Finally, speak to a reference client of a similar size. Ask what went wrong and how the partner responded. How a partner handles problems tells you more than any case study.
Score each partner on
- Zoho tier and relevant certifications
- Named, experienced project team
- Similar projects and a reference you can call
- Written discovery output and solution design
- Clear pricing model and change control
- Data migration, testing and training plan
- Security certifications and data protection
- Post-go-live support and ownership of your system
