01Ofcom General Conditions (contract summaries and complaints)

Providers must give small business customers (10 or fewer staff) a contract summary before they sign and run complaints handling that meets Ofcom minimum standards, including access to approved ADR.

Zoho CRM quote templates and Zoho Sign can attach and capture acceptance of contract summaries, and Zoho Desk logs every complaint with timestamps, SLAs and history to support your complaints process and reporting.

02Ofcom switching rules and One Touch Switch

Switching rules under General Condition C7 require switches to happen quickly with minimal loss of service, and One Touch Switch lets customers move fixed broadband and landline services by contacting only the new provider.

Zoho CRM can track contract end dates, switch requests and retention activity, so your team responds to switching orders and at-risk accounts promptly. The switching process itself runs through the industry hub, not Zoho.

03UK GDPR and PECR

Communications providers must protect customer data, keep services secure and report certain security breaches to the ICO under PECR, alongside UK GDPR duties.

Zoho offers a GDPR Data Processing Addendum, encryption at rest and role-based access, and Zoho CRM and Desk keep an audit trail of who accessed and changed customer records. Your own policies and processes remain essential.

Can Zoho bill monthly rentals and call usage together?

Yes. Zoho Billing supports recurring plans, add-ons and metered usage on the same subscription, with proration for mid-term changes. We design the plan and add-on structure around your product catalogue and connect payment collection, for example GoCardless Direct Debit.

How does Zoho help with the PSTN switch-off?

Zoho does not migrate lines, but it makes the migration programme manageable. We set up Zoho CRM to flag every analogue customer, site and device, track each migration through a Blueprint, and book engineer visits in Zoho FSM, so nothing is missed before 31 January 2027.

Can we track SLAs for business customers?

Yes. Zoho Desk sets due times based on the customer, channel and ticket status, and escalates overdue tickets automatically. We configure SLA policies to mirror the response and fix times in your customer contracts.

Does Zoho work with our phone system?

Zoho CRM integrates with a range of telephony providers through PhoneBridge and native integrations, including RingCentral, giving click-to-call, call pop-ups and call logging. We confirm the right option for your platform during discovery.

Can Zoho help with Ofcom contract summary and complaints rules?

Zoho helps you run and evidence the process: contract summaries attached to quotes and signed with Zoho Sign, and every complaint logged with history in Zoho Desk. It supports your compliance but does not replace your own policies or an ADR scheme.

Can engineers use Zoho on site?

Yes. Zoho FSM has Android and iOS apps for engineers to view jobs, navigate to site, record notes and photos and capture customer signatures on service reports. Completed work flows back to CRM, Desk and Books.

How much does Zoho cost in the UK?

Zoho is priced per user, ex VAT. At October 2026, Zoho One costs £37 per employee per month on annual billing with All Employee pricing, or £80 per user per month with Flexible User pricing. Zoho CRM on its own runs from £12 (Standard) to £42 (Ultimate) per user per month on annual billing. Implementation is scoped separately after a free process review, so you know the full cost before you commit.

Where is our Zoho data hosted?

UK customers are normally set up on Zoho's EU data centres, with Amsterdam as primary and Dublin as secondary, on the zoho.eu domain. Zoho does not sell or advertise on customer data, and we configure roles, profiles, field-level security and two-factor authentication as part of every implementation.
