The bigger picture

Wholesale is a big, competitive and cash-hungry market.

Margins are thin, customers expect next-day delivery and late payment ties up working capital.

Sound familiar?

The problems we hear from distributors every week.

Growth adds branches, SKUs and customers. Systems that worked at half the size start to crack.

Stock you cannot trust across sites

Each branch, trade counter and van holds stock that only reconciles at month end, so sales quote availability they do not have and buyers reorder what is already on a shelf elsewhere.

Trade price lists held in spreadsheets

Contract prices, quantity breaks and customer-specific discounts live in Excel or a salesperson's head, so margins leak and invoices get disputed.

Paper picking and mis-picks

Pickers work from printed notes, so wrong items, wrong quantities and missed lines reach the customer and come back as returns and credit notes.

Credit control that starts too late

Overdue accounts are chased by hand from an aged debt report, often after more goods have already gone out on account.

Trade customers phoning for everything

Account customers ring or email for prices, stock checks, order status and copy invoices because there is no self-service B2B portal.

Dropship and carrier admin by hand

Direct-from-supplier orders and courier labels are keyed into separate portals, so tracking numbers, costs and invoices drift apart.

Every mis-pick, stock-out and late payment has the same root cause: no single, live picture of stock and customers.

Follow one order

Follow one trade order from quote to cash.

Pick a stage and switch between how it runs today and how it runs in Odoo.

Today

Quote and price

Sales checks a spreadsheet for the customer's agreed price and phones the warehouse to confirm stock.

2-minute readiness check

Is your distribution business outgrowing its systems?

Answer five quick questions for an honest view of whether Odoo would pay back.

  • Do staff phone another branch to check stock before promising a customer?
  • Are customer-specific prices kept in spreadsheets or people's heads?
  • Do mis-picks or wrong deliveries happen more than once a week?
  • Is chasing overdue invoices a manual, monthly job?
  • Do trade customers have to phone or email to place routine orders?

Compliance

The records your customers, HMRC and your bank expect, kept as you trade.

RequirementWhat it meansHow Odoo helps
01Making Tax Digital for VAT

VAT-registered UK businesses must keep digital records and file VAT returns using MTD-compatible software.

The Odoo UK localisation connects to HMRC and submits the VAT return through the MTD-VAT API.

02Late Payment of Commercial Debts (Interest) Act 1998

Suppliers can claim statutory interest and fixed compensation on late B2B payments.

Payment terms on every invoice and automated follow-up levels make overdue debt visible and chased consistently; interest claims remain a credit control decision.

03Product traceability (GS1, lots and serials)

Many industrial and electrical lines need batch or serial traceability for recalls and warranty.

Lot and serial tracking records which batch went to which customer, and the Barcode app reads GS1 codes at goods-in.

Integrations

Connected to carriers, marketplaces and your bank.

Fewer manual exports, faster dispatch and cleaner books.

FAQs

Questions distributors ask us

Straight answers to the questions distributors ask us most. Something else on your mind? Ask a consultant.

Can Odoo manage several warehouses and trade counters?

Yes. Each site is set up as a warehouse with its own locations and routes, and stock can be resupplied from a central warehouse with inter-warehouse transfers. Everyone sees the same live stock position across sites.

Can each trade customer have their own prices?

Yes. Odoo pricelists support customer-specific rules, minimum quantities and validity dates, and the same pricelist applies on quotations and in the B2B web shop.

Do we need special hardware for barcode picking?

The Odoo Barcode app runs in a browser, so it works on mobile computers, tablets and phones with a scanner. We help you pick devices that suit your warehouse.

Can our trade customers order online?

Yes. Odoo eCommerce can hide prices from the public, make accounts invitation-only and show each logged-in customer their own pricelist, stock and order history.

How does Odoo help with credit control?

Follow-up levels send reminders automatically by email, letter or SMS with overdue invoices attached, and payment terms are applied to every invoice. Your credit team works from one live list instead of an exported aged debt report.

Is Odoo compliant with Making Tax Digital?

Yes. The Odoo UK localisation includes an HMRC connection that submits VAT returns through the MTD-VAT API.

How much does Odoo cost in the UK?

Odoo licences are priced per user. At October 2026, Odoo's UK list prices on annual billing are £22 per user per month for Standard and £41 for Custom (which adds Odoo.sh or on-premise hosting, Studio and multi-company), with a first-year discount to £18 and £32. One App Free covers a single app with unlimited users. Implementation is scoped separately after a free process review, so you know the full cost before you commit.
