The bigger picture
A big sector doing more with less.
Charities and member bodies face rising expectations from supporters, funders and regulators.
Sound familiar?
The problems we hear from charities and member bodies.
Good people, too many systems. The admin grows faster than the mission.
Supporter data in silos
Donors sit in a fundraising database, members in a spreadsheet, delegates in a ticketing tool and volunteers in someone's inbox, so nobody sees one person's full relationship with the organisation.
Renewals chased by hand
Membership renewals, lapsed members and failed payments are tracked manually, so income leaks and members get the wrong reminders.
Restricted funds in spreadsheets
Finance keeps restricted and unrestricted funds, grants and projects in side spreadsheets that have to be reconciled to Sage or Xero before every trustee meeting.
Gift Aid admin
Declarations are on paper or in a separate system, and building the HMRC claim means exporting, cleaning and re-keying donation data.
Consent you cannot prove
Marketing preferences and opt-outs are scattered across tools, which makes PECR, UK GDPR and Fundraising Code compliance hard to evidence.
Events that do not join up
Conferences, CPD sessions and fundraising events are ticketed in one tool and invoiced in another, so attendance, income and member pricing never line up.
Every hour spent reconciling spreadsheets is an hour not spent on your members or beneficiaries.

Is your organisation outgrowing its systems?
Five quick questions for an honest view of whether Odoo would help.
- Do donors, members and event delegates sit in different systems?
- Are renewals and lapsed members chased by hand?
- Are restricted funds reconciled in spreadsheets before trustee meetings?
- Would proving someone's consent take more than a few minutes?
- Do event bookings and invoices live in separate tools?

We are clear about what Odoo does natively and where a specialist add-on or your accountant fits in.
Charities claim Gift Aid online by uploading a spreadsheet of donations or using eligible software; claims of over 1,000 donations must use software.
Odoo has no native Gift Aid module. Third-party Odoo Apps Store modules record declarations and build the HMRC claim CSV for upload via Charities Online; larger claims need HMRC-recognised software alongside Odoo.
The updated SORP applies to reporting periods beginning on or after 1 January 2026, with reporting tiers set by income.
Analytic plans let finance tag income and spend by fund and activity, giving the fund-level data a SORP statement of financial activities needs; final SORP accounts are still prepared by your accountant.
The 2025 Code requires an easy way to withdraw consent, such as an unsubscribe link in emails.
Email Marketing adds unsubscribe links and blacklists opted-out addresses across all mailings.
Electronic marketing needs consent or a valid soft opt-in; the Data Use and Access Act 2025 introduces a charity soft opt-in with an opt-out at collection and in every message.
Contact records, mailing list subscriptions and blacklists hold opt-outs centrally; the Website cookies bar supports consent for site tracking.
Integrations
Connected to payments, banking and email.
Online income, bank feeds and your inbox, all in one place.

FAQs
Questions charities and member bodies ask us
Straight answers to the questions charities and membership bodies ask us most. Something else on your mind? Ask a consultant.
Does Odoo have a membership module?
Yes. From Odoo 19 the Membership / Partnership module, activated in CRM settings, sells memberships through Sales and Subscriptions and tracks levels, renewals, expiries and dues. It also works with eCommerce so people can join online.
Can Odoo handle Gift Aid?
Not out of the box. Gift Aid is handled with a third-party module from the Odoo Apps Store that records declarations and builds the HMRC claim file for Charities Online. HMRC requires software for claims of over 1,000 donations, so we size the approach to your claim volumes.
How are restricted and unrestricted funds tracked?
We set up analytic plans so every income and expense line is tagged to a fund, grant or project. Budgets then compare actuals to each grant, giving trustees live fund balances instead of month-end spreadsheets.
Can we run events and member pricing in one place?
Yes. Odoo Events sells tickets online and pricelists can give members their own rates. Registrations, payments and invoices flow into CRM and Accounting automatically.
How does Odoo help with GDPR and fundraising consent?
Contacts, mailing list subscriptions and the email blacklist live in one database, and every mailing carries an unsubscribe link. That makes opt-outs consistent and easier to evidence, though your policies and lawful basis remain your responsibility.
Can Odoo replace Sage or Xero for a charity?
Yes for day-to-day accounting: Odoo's UK localisation includes the UK chart of accounts, MTD VAT filing and Bacs files. Year-end SORP accounts are usually still finalised by your independent examiner or auditor.
How much does Odoo cost in the UK?
Odoo licences are priced per user. At October 2026, Odoo's UK list prices on annual billing are £22 per user per month for Standard and £41 for Custom (which adds Odoo.sh or on-premise hosting, Studio and multi-company), with a first-year discount to £18 and £32. One App Free covers a single app with unlimited users. Implementation is scoped separately after a free process review, so you know the full cost before you commit.
