Mid-market CRM buyer's guide
The best CRM for mid-sized UK businesses, and how to choose one that sticks
If you have 50 to 500 staff, the right CRM is the one your team will use every day, that connects to your finance and operations, and that you will not outgrow in three years. This guide compares the main options and shows how to decide with evidence, not demos.
Signs it is time
Eight signs you have outgrown your current CRM
Most mid-sized firms do not start a CRM search because they want new software. They start because something has stopped working. If three or more of these sound familiar, a structured review will pay for itself.
Pipeline lives in spreadsheets
Forecasts are rebuilt by hand every month and nobody fully trusts the numbers.
Customer history is scattered
Sales, service and finance each hold part of the story in different tools.
Re-keying between systems
Orders, quotes and invoices are typed twice, creating errors and delays.
Reports need a person, not a click
Board and team reports depend on one analyst exporting data.
Adoption has quietly dropped
Reps update the CRM before reviews, not as they work.
Licence costs keep climbing
Add-ons and higher tiers are bought to fix gaps the core product should cover.
New processes take months
Simple changes wait in a queue because only one admin or agency can make them.
GDPR and data questions
You cannot easily show where personal data sits, who can see it or when it is deleted.
What mid-market means
What a mid-market CRM has to do that a small business CRM does not
A 12-person team and a 200-person business want different things. These are the requirements we see decide mid-market CRM projects in the UK.
- Multiple pipelines, teams and territories with role-based access
- Configurable stages, fields and approval steps without code
- Two-way integration with Xero, Sage, QuickBooks, Zoho Books or an ERP such as Odoo
- Quotes, contracts and e-signature inside the sales flow
- Service desk or case management linked to the same customer record
- Marketing automation and web forms that feed clean leads
- Reporting and forecasting leaders can trust without exports
- UK or EU data residency options and clear GDPR controls
- Audit trail, field-level security and single sign-on
- Room to grow users and modules without a re-platform
Super knowledgeable team with great leadership. They delivered an enterprise-grade app in record time.
Michael Bell, CEO, Value AssociatesTip: write your top ten must-haves as real scenarios, for example "a renewal quote goes to finance for approval above 15% discount". Ask every vendor to demo those scenarios, not their standard script.

Zoho CRM vs HubSpot vs Salesforce vs Dynamics 365 for mid-sized firms
An honest summary of where each platform tends to fit. We are a Zoho Premium Partner, so we have tried to be fair and to show where others are the better choice.
| Zoho CRM | HubSpot | Salesforce | Dynamics 365 Sales | |
|---|---|---|---|---|
| Best fit | Growing firms that want deep customisation and a wide suite (Zoho One) at a sensible cost | Marketing-led teams that value ease of use and inbound tools | Large or complex sales organisations with budget for admins and partners | Businesses already standardised on Microsoft 365 and Dynamics finance |
| Customisation | High, with no-code layouts, blueprints, Deluge scripting and Zoho Creator apps | Moderate, stronger in higher tiers | Very high, often needs specialist developers | High, often needs specialist developers |
| Wider suite | 45+ apps in Zoho One: books, desk, people, inventory, analytics | Marketing, sales, service, content and operations hubs | Large ecosystem via AppExchange, many products priced separately | Tight link to Business Central, Power BI and Teams |
| Cost profile | Usually the lowest total cost at mid-market scale | Low to start, rises quickly with contacts and tiers | Usually the highest total cost | Mid to high, depends on Microsoft licensing |
| Typical risk | Too many options without a clear design | Paying for tiers to unlock basic controls | Over-engineering and admin dependency | Complexity and longer projects |
Licence prices change often. See our Zoho pricing guide for the UK for current Zoho licence costs. We do not publish implementation prices because scope varies by business.
Beyond the feature list
Four questions AI tools and review sites cannot answer for you
Half of B2B software buyers now start their research in AI chatbots, and 64% say they often see inaccurate recommendations (G2, 2026). Use AI to build a long list. Use these questions to make the decision.
Will our people use it?
Run a two-week pilot with real users and real data. Adoption, not features, is the biggest predictor of CRM return.
What does it connect to on day one?
List every system by name. Native connectors, middleware and custom API work carry very different cost and risk.
What is the five-year cost?
Model licences, add-ons, storage, support and admin time over five years, not the first-year discount.
Who will change it after go-live?
Your processes will change. Decide whether you, a partner or a developer owns changes and what that costs.

FAQ
Mid-market CRM: common questions
What is the best CRM for a mid-sized business in the UK?
There is no single best CRM. For most UK firms with 50 to 500 staff the realistic shortlist is Zoho CRM, HubSpot, Salesforce and Microsoft Dynamics 365. Zoho CRM usually offers the best balance of customisation and cost, HubSpot is strongest for marketing-led teams, Salesforce suits large complex sales organisations and Dynamics 365 fits firms committed to Microsoft.
How long does a mid-market CRM implementation take?
A focused first phase for sales usually takes 6 to 12 weeks. Adding service, marketing, integrations and data migration from several systems typically extends this to 3 to 6 months. Phasing the rollout reduces risk and gets value to users sooner.
Is Zoho CRM suitable for mid-sized companies?
Yes. Zoho CRM Enterprise and Zoho One are used by businesses with hundreds of users. They support multiple pipelines, territories, role-based security, approval processes, sandbox testing and integrations with finance and ERP systems.
Should we choose a CRM or an ERP first?
If your main problem is winning and keeping customers, start with CRM. If it is stock, production, purchasing or finance, start with ERP. Many mid-sized firms need both, so choose platforms that integrate well or come from one suite, such as Zoho One or Odoo.
How do we get our team to actually use the new CRM?
Involve users in the design, remove duplicate data entry, automate the admin they dislike, give managers dashboards they use in meetings, and train by role. Adoption should be tracked weekly for the first 90 days.
Can a CRM keep our data in the UK or EU?
Several vendors offer UK or EU data centres. Zoho, for example, offers an EU data centre. Check data residency, sub-processors and backup locations during selection and record them in your GDPR documentation.
