Zoho subscription guide
Single app, bundle or Zoho One: which Zoho subscription is right for you?
Zoho offers 50+ apps, focused bundles and two ways to buy Zoho One. Most businesses either pay for apps nobody uses, or stitch together single apps that end up costing more than the suite. As a UK Zoho Premium Partner, we help you choose the right Zoho licensing with facts, not guesswork.
- Prices checked against Zoho’s official UK pricing

Why it matters
The right Zoho subscription is about fit, not just price.
The same Zoho app can cost very different amounts depending on how you buy it. Get the licensing model right and you pay once for exactly what your teams use. Get it wrong and you either overpay every month or outgrow your plan within a year.

the tipping point: if more than about 46% of your employees need Zoho One, All Employee pricing beats Flexible User pricing (£37 vs £80)
Common challenges
Six Zoho licensing traps we see every month.
Choosing a Zoho subscription is one of the biggest challenges our clients face. Tap or hover over a card to see how to avoid each trap.
Trap 1
“We bought Zoho One for everyone, but half the team barely uses it.”
How to avoid it
How to avoid it
Under All Employee pricing you must license every employee on payroll. If only some staff need the suite, Flexible User pricing, a bundle or single apps may cost less. Run the numbers first.
Trap 2
“We added apps one at a time and now pay for six subscriptions.”
How to avoid it
How to avoid it
Separately billed apps add up quickly. Once several teams need several apps, a bundle or Zoho One is often cheaper and simpler, with one invoice and one admin console.
Trap 3
“We chose the cheapest edition, then hit its limits.”
How to avoid it
How to avoid it
Zoho editions differ in automation, customisation and usage limits. Map your must-have requirements to the edition before you buy, not after go-live.
Trap 4
“Our bundle did not cover what finance needed.”
How to avoid it
How to avoid it
Bundles are focused. CRM Plus covers customer-facing teams, while Finance Plus covers the back office. Check the app list against every team’s needs.
Trap 5
“We assumed Zoho One includes unlimited everything.”
How to avoid it
How to avoid it
Apps inside Zoho One come with set editions and usage allowances, and some add-ons are charged separately. Check the plan details for the apps that matter most.
Trap 6
“Nobody owned our Zoho licences.”
How to avoid it
How to avoid it
Leavers keep paid seats and new starters wait for access. Assign a licence owner and review users regularly, especially on Flexible User pricing.
