Moving beyond accounting software
Outgrown Xero, Sage or QuickBooks? What to move to next
Xero, Sage 50 and QuickBooks are excellent for getting started. But once you add stock, production, multiple entities or a growing team, the add-ons and spreadsheets start to cost more than they save. Here is how to tell if you have outgrown them and what your realistic options are.
Warning signs
Nine signs your business has outgrown its accounting software
Check how many apply to you today. One or two can be fixed with better apps. Four or more usually means you need an integrated system.
App sprawl
Five or more add-ons for stock, orders, CRM, payroll and reporting, each with its own subscription and sync issues.
Sync errors every week
Someone spends hours fixing failed syncs, duplicate contacts and mismatched invoices.
Stock is managed outside finance
Stock value in the accounts rarely matches the warehouse.
No true product or job costing
You cannot see margin after materials, labour, freight and returns.
Multiple companies, many logins
Group reporting and inter-company trading are handled in spreadsheets.
Transaction limits and slow files
The system slows down or hits plan limits as volumes grow.
Approvals by email
Purchase approvals and credit checks happen outside the system with no audit trail.
Month-end takes over a week
Reconciliations and journal adjustments delay management accounts.
Leaders ask for reports you cannot run
Every new question needs an export and a pivot table.
Your options
Three realistic paths for a growing UK business
There is no one right answer. The best path depends on how complex your operations are, not just on company size.
| Stay and extend | Integrated suite (Zoho One) | Full ERP (Odoo) | |
|---|---|---|---|
| What it means | Keep Xero, Sage or QuickBooks and replace weak add-ons with better-integrated tools | Move finance to Zoho Books and run CRM, inventory, HR and service in one suite | Run finance, inventory, manufacturing, purchasing, sales and eCommerce in one database |
| Best for | Service businesses with simple operations and few integrations | Sales and service-led firms that want one suite and strong CRM | Manufacturers, distributors, wholesalers and multi-channel retailers |
| Stock and production | Basic, via add-ons | Good inventory, light production | Advanced inventory, manufacturing, quality and traceability |
| Multi-company | Separate files and manual consolidation | Supported | Supported with inter-company rules |
| Disruption | Low | Medium | Medium to high, reduced by phasing |

Planning the move
What moves, what stays and when to switch
The migration is where most of the risk sits, so it deserves as much planning as the new system.
What we usually migrate
- Chart of accounts, mapped and tidied
- Customers, suppliers and contacts, de-duplicated
- Products, price lists and bills of materials
- Opening balances and trial balance
- Open sales and purchase invoices
- Open orders and stock on hand by location
- Fixed asset register
- Summary history for comparative reporting
Timing the cutover
A year end is the cleanest point to switch, but it is not required. Many firms switch at a month or quarter end, bring in opening balances and open items, and keep the old system read-only for detailed history.
We run at least two trial migrations. Your finance team reconciles each one against the old system before we agree the go-live date.
Keep Xero or Sage for a while? Some firms run payroll or a small entity on their old package during a phased move. We design integrations so the numbers still reconcile.

FAQ
Outgrowing Xero, Sage or QuickBooks: common questions
When should a business move from Xero to an ERP?
Usually when you manage significant stock or production, run several companies, rely on many add-ons that do not sync reliably, or month-end takes more than a week. Company size matters less than operational complexity.
What is the best alternative to Sage 50 for a growing business?
For service and sales-led businesses, Zoho Books within Zoho One is a strong option. For manufacturers and distributors that need stock, production and finance together, Odoo is usually the better fit. Sage 200 or Sage Intacct can suit firms that want to stay with Sage.
Can we keep our historical data when we leave QuickBooks or Xero?
Yes. Most firms migrate master data, opening balances, open items and summary history, and keep the old system in read-only mode for detailed transaction history. Full transaction history can be migrated where needed, at extra effort.
Does Odoo work with Making Tax Digital?
Yes. Odoo supports Making Tax Digital compatible VAT returns for UK businesses through its UK localisation.
How disruptive is moving to an ERP?
It depends on scope and planning. Phasing the rollout, running trial migrations and training key users early keep disruption low. Most teams are working normally within a few weeks of go-live.
