In one sentence
What is a Zoho Books implementation?
It is the work of setting up Zoho Books as your accounting system: designing the chart of accounts, VAT and Making Tax Digital settings, bank feeds and payment collection, migrating balances and history from your old software, connecting Zoho CRM and other apps, and training your finance team to close each month with confidence.
- 01Who it is for
- UK SMEs moving from Xero, QuickBooks, Sage or spreadsheets, and Zoho users who want sales and finance joined up
- 02What we deliver
- A configured, reconciled Zoho Books with VAT, bank feeds, payments, migrated data and trained users
- 03Typical timeline
- A few weeks for a single company, longer for several companies or years of history
- 04Your partner
- Thoughtlogik, UK Zoho Premium Partner with consultants who work alongside your accountant
Why getting it right matters
UK finance rules keep changing. Your set-up should keep up.
Making Tax Digital is extending to more taxpayers, and customers expect to pay online. Zoho Books covers both, if it is configured properly.
recognised software for MTD for VAT and MTD for Income Tax
Zoho, 2026 →qualifying income above which sole traders and landlords must use MTD for Income Tax from April 2026
Zoho, 2026 →accounting systems Zoho lists for free migration support, including Xero, QuickBooks and Sage
Zoho UK, 2026 →payment gateways for UK invoices, including Stripe, GoCardless and PayPal
Zoho UK, 2026 →Sound familiar?
Why finance migrations go wrong, and how we prevent it.
Moving your books is not just a data import. These six problems are the ones we see most often when a finance system is set up in a hurry.
Your first VAT return and your first month-end on the new system tell you whether the set-up was done properly.
An old chart of accounts copied blindly
Years of unused codes come across, so reports stay as cluttered as before.
→ Fix: a chart of accounts review in the Scope phase
Opening balances that do not tie up
Balances are keyed in without reconciliation, and the first VAT return becomes a headache.
→ Fix: trial balance, debtor and creditor reconciliation at cut-over
VAT set up wrong from day one
Wrong rates, schemes or reverse-charge settings create errors in every return.
→ Fix: VAT and MTD settings reviewed with your accountant
Bank feeds without rules
Hundreds of transactions still matched by hand every month.
→ Fix: bank rules and payment gateway matching
Sales and finance still disconnected
Invoices are retyped from CRM deals or spreadsheets.
→ Fix: Zoho CRM and Zoho Books integration
Payroll left as an afterthought
Zoho Payroll is not available in the UK, so payroll journals get posted inconsistently.
→ Fix: a clear process for posting external payroll
Today versus tomorrow
Retyping, chasing and month-end panic, or finance that flows.
Follow a sale from quote to VAT return today. Then see the same journey with Zoho Books at the centre.

Result: slow month-ends, late payments and limited visibility of cash.

FAQs
Zoho Books implementation: your questions answered.
Cannot see your question? Our UK consultants are happy to talk it through.
How long does a Zoho Books implementation take?
A single UK company moving from Xero, QuickBooks or Sage typically takes a few weeks, depending on how much history you bring across and what connects to Books. Several companies, years of transactions or custom integrations take longer. Try the estimator above, and we confirm your plan in the Scope phase.
Is Zoho Books compliant with Making Tax Digital?
Yes. Zoho describes Books as HMRC-recognised, MTD-compliant software that files VAT returns directly to HMRC, and Zoho appears on HMRC’s Making Tax Digital for VAT software list. Books also supports MTD for Income Tax quarterly updates for sole traders and landlords. We set up your VAT rates and schemes with your accountant.
Can you migrate our data from Xero, QuickBooks or Sage?
Yes. Zoho lists Xero, QuickBooks, Sage, FreeAgent and other systems on its UK migration page and offers free migration support. We plan what to bring across, from opening balances to open invoices and history, then reconcile it against your old system before go-live. See outgrown Xero, Sage or QuickBooks.
Does Zoho Books handle UK payroll?
No. Zoho Payroll is not available in the UK. You keep your existing payroll provider or bureau and post payroll journals into Zoho Books each month. Zoho Books also integrates with KeyPay. We set up a simple, consistent process for payroll postings so your management accounts stay accurate.
Which payment gateways work with Zoho Books in the UK?
Zoho Books UK supports Stripe, GoCardless, PayPal, Square, Braintree and Verifone, so customers can pay invoices online through a payment link. We set up the gateway, payout reconciliation and automatic payment reminders, so cash comes in with less chasing.
Can Zoho Books handle CIS for construction businesses?
Zoho references CIS on its UK Zoho Books site. Because CIS deductions and monthly returns have specific rules, if you work in construction we test Zoho Books against your subcontractor and HMRC reporting needs during the Scope phase, before you commit to it.
How does Zoho Books work with Zoho CRM?
Zoho Books integrates natively with Zoho CRM. Customers and items stay in step, and invoice and payment information is visible to sales without asking finance. We design what syncs, in which direction and who owns each record. See our Zoho CRM implementation service.
Which Zoho Books plan do we need?
It depends on users, volumes and features. Zoho Books UK has a Free plan for one user plus an accountant, and paid plans from Standard at £10 to Ultimate at £165 per organisation per month, billed annually, excluding VAT. We recommend the right plan during scoping, so you do not overpay.
