Understanding Modules in Zoho Recruit
Introduction
Modules in Zoho Recruit are building blocks that organize and manage different types of recruitment-related information, such as candidates, clients, job openings, interviews, and more. Customizing modules helps tailor the system to your organization’s unique recruitment workflows. Whether you’re managing internal hiring or agency recruitment, modules give you the flexibility to define and control how data is captured, processed, and displayed.
Step-by-Step Instructions:
Renaming and Customizing Modules
Zoho Recruit (and Zoho Projects) allows users to rename default modules like Tasks, Issues, and Phases to reflect organizational preferences. These changes reflect throughout the portal.
- Click the Setup icon (gear) in the top navigation bar.
- Go to Customization > Modules.
- Under Modules tab, you'll find a list of existing modules.
- For each module:
- Under Name To Be Displayed In Links or Comments, enter the new label.
- Under Name and Icon To Be Displayed In The Tabs, enter a custom name and choose an appropriate icon.
- Use the toggle switch to enable or disable visibility of the module across the portal.
- Click Update to save changes.
Enabling/Disabling Modules
- Modules such as Tasks, Phases, Issues, and Timesheets can be enabled or disabled depending on your business use case.
- Disabling a module hides its data and associated features without deleting the information.
- Re-enabling will restore full access.
Custom Modules
If the standard modules (Candidates, Clients, Job Openings, etc.) don’t meet your needs, you can:
- Create custom modules for things like assessments, certifications, onboarding, or vendor management.
- Define custom fields within each module to capture relevant data (e.g., Expected CTC, Visa Status, Onboarding Status).
- Add custom validation rules and workflow automations to ensure consistency and reduce manual work.
Module Permissions
Admins can set module-level permissions for different roles to:
- Control read/write/delete access.
- Limit visibility based on teams, roles, or locations.
- Assign module ownership or define who can create/edit/delete records.
Tips:
- Use consistent naming conventions across modules for clarity (e.g., “Client” vs. “Customer”).
- Test custom modules in a sandbox or development environment before deploying to production.
- Utilize icons that visually represent the function of each module for easier navigation.
- Turn off unused modules to reduce clutter and simplify the UI for users.
