How to Create New Roles in Zoho Expense?

Estimated reading: 2 minutes 274 views

Zoho Expense roles control what each user can see and do, from submitting their own expenses to approving reports for others. This guide covers creating a custom role when the predefined roles don’t fit your business exactly.

What roles do

Every user is assigned a role that determines their permissions. Zoho Expense provides predefined roles, and you can also create custom roles for situations that need different or narrower access.

How to create a custom role

  1. Click Admin View.
  2. Click Settings on the left sidebar, or the Gear icon.
  3. Go to Roles & Permissions under Users and Control.
  4. Click + New Role.
  5. Enter a name for the role and set its permissions, then save.

Cloning an existing role

Hover over a role you already have, click the More icon, and choose Clone to use it as a starting point for a new role.

Tips

  • Base a new role on the closest predefined role and adjust from there, rather than starting empty.
  • Review roles periodically as your organisation grows, so permissions still match people’s actual responsibilities.

Frequently asked questions

Do I have to build a role from scratch?

No, you can clone an existing role and adjust its permissions rather than starting from nothing.

Where do I create a new role?

Under Admin View, go to Settings, then Roles & Permissions under Users and Control, and click + New Role.

Can I change a role’s permissions after it’s created?

Yes, open the role from Roles & Permissions and update its permissions, then save.
