How to Add Users in Zoho Expense?

Adding users in Zoho Expense gives employees their own login so they can submit expenses and reports under their own name. This guide covers inviting new users and setting up their role and approver.

Before you start

Decide each new user’s role and who they should submit expenses to, since both are set when you add them.

How to add a user in Zoho Expense

1. Click Admin View.
2. Click Settings on the left sidebar, or the Gear icon.
3. Go to Users under Users & Roles.
4. Click + New User.
5. Enter the user’s Name, Employee ID and Email Address, then choose a Role from the dropdown and set who they Submit To for approval.
6. Click Show more fields if you need to fill in additional details, and set Approves and Forwards To if the role has approval permissions.
7. Tick Skip Invitation Email if you don’t want the invitation sent immediately, then save.

Adding several users at once

Click the arrow next to + New User and choose Multiple Users to invite a group of people in one go.

Tips

• Create any custom roles you need before inviting users, so you can assign the right role straight away.
• Keep employee IDs consistent with your payroll or HR system to make reconciliation easier.

Frequently asked questions

Can I add several users to Zoho Expense at once?

Yes. Use the + New User dropdown and choose Multiple Users to invite several people in one go.

Does a new user get access immediately?

They get access once they accept the invitation email, unless you tick Skip Invitation Email to add them without sending one straight away.

Can a user belong to more than one approver chain?

Each user has a Submits To approver, and users with approval permissions can also have an Approves and Forwards To setting for escalating approvals.
