How to Activate & Deactivate users in Zoho One ?

Estimated reading: 2 minutes 325 views

Deactivating and activating users in Zoho One lets administrators suspend or restore someone’s access without deleting their account or data, which is useful for staff on leave, role changes or leavers.

Before you start

Make sure the user is not assigned as an admin, does not own any apps or integrations, and is not a Directory store owner. Transfer these roles first, or deactivation may fail.

How to deactivate a user

  1. Sign in to Zoho One and open the Admin Panel.
  2. Go to User Management and select the user you want to deactivate.
  3. Open the user’s options and choose Deactivate.
  4. Confirm the action.

The user immediately loses access to Zoho One services and their licence becomes available to reassign. If the user was linked to any SAML apps (Directory or non-Directory), deactivate them separately in those apps to avoid unnecessary charges.

You can also deactivate or activate users from the Zoho One mobile app, from the user list under Users.

How to reactivate a user

  1. In User Management, filter or search for Inactive Users.
  2. Select the user you want to reactivate.
  3. Choose Activate.

Reactivating a user requires a spare licence within your subscription. If you don’t have one, deactivate another user first or add licences before reactivating.

Tips

  • Review inactive users from time to time and remove those you no longer need.
  • Deactivation suspends access without deleting the user’s data, so it’s a safer option than deletion for temporary changes.

Frequently asked questions

What happens to a deactivated user’s licence?

It becomes available and can be reassigned to another user.

Does deactivating a user in Zoho One also remove them from SAML apps?

No. If the user was assigned to Directory or non-Directory SAML apps, you must deactivate them separately in those apps.

Can I reuse a deactivated user’s email address?

Not while the user remains deactivated. It can only be reused as an alias once the user is permanently deleted from the organisation.
