How to use the Dashboard to Monitor and Analyze Your Flows

Estimated reading: 3 minutes 341 views

The Zoho Flow dashboard gives you a real-time view of how your automations are performing, so you do not need to dig through individual flows to see what is working. It suits anyone managing a handful of flows or dozens across an organisation.

Overview at a glance

At the top of the dashboard you will see a summary:

  • Total Flows: the number of flows in your organisation.
  • Live, Paused and Draft Flows: a breakdown of which flows are active, paused, or still being built.
  • Task Usage This Month: how many tasks your flows have used, and when the count resets.

Track flow execution

This section shows how your flows are performing over a chosen time frame:

  • Choose a time frame: use the dropdown to select a date range, such as Last 7 Days (the default) or Last 30 Days.
  • Execution summary: how many flow runs were successful, failed or filtered.
  • Top 5 Flows: your most used flows, each showing total executions, the split between successful, failed and filtered runs, and trends over time.

Understand task usage

  • Overall Task Usage: total tasks used in the selected time frame.
  • Task Usage by Flow: which flows consumed the most tasks.
  • Task Usage by Task Type: which types of tasks, such as app actions or custom functions, are used most.
  • Top 5 Flows and Task Types: a graphical view of the top five flows and task types by usage.

View recent executions

At the bottom of the dashboard is a list of the most recent flow executions. Click any flow in this list to jump to its Summary page for more detail. If you do not see any recent executions, check that your flows are switched on and running.

Tips

  • Flows with many successful executions, especially ones tied to key customer actions, usually indicate a healthy process.
  • Watch for a rise in failed executions, which can point to a change in a connected app, such as a missing field or an authorisation issue.
  • Review your most used task types to spot where usage could be reduced to stay within plan limits.

Frequently asked questions

What time frames can I choose on the dashboard?

You can select a date range such as the last 7 or 30 days from the dropdown; the default is Last 7 Days.

Why might Recent Executions be empty?

This usually means your flows are not switched on or not running properly, so check that they are live.

What counts as a failed execution?

An execution where a flow’s action could not complete, often because something changed in a connected app, such as a missing field or an authorisation issue.
