How to Manage and Optimize Your Flows in Zoho

Zoho Flow flow management happens on the My Flows page, the hub you land on every time you log in and where all your organisation’s flows live. This guide covers how to create, organise, find and maintain your flows.

How to manage your flows

Create a new flow: click Create flow in the top right corner of the My Flows page.

Organise with folders: click the dropdown next to Create flow and select Create folder, give it a name, choose whether to place it under Home (My Flows) or inside another folder, then click Create.

Find flows quickly: use the search bar, or filter by All folders, All flows, Live, Paused, Draft, Owned, Installed or Deprecated.
Duplicate a flow: hover over the flow, tick its checkbox, click Copy on the toolbar, enter a name for the copy, then click Create copy. Only one flow can be duplicated at a time.
Move a flow to a folder: hover over the flow, tick its checkbox, click Move on the toolbar, choose the destination folder, then click Move.
Explore flow details: click a flow from My Flows to open its Summary, Builder and History.

Summary and History

The Summary tab gives an overview of a flow’s execution history and connected apps, shows recent executions graphically, and lets you test, reconnect or delete connections. Hover near the flow name or description and click the edit icon to rename it.

The History tab shows every execution of the flow. Click an execution for more detail, and use the filters to narrow the list by status or date.

Tips

Use folders early on, so managing flows stays easy as your list grows.
Duplicate a flow before editing it if you are unsure about changing a live one.
Check the History tab regularly to monitor performance and troubleshoot issues.
Pause flows you are not using, to reduce clutter.
