Policies – Overview

Estimated reading: 2 minutes 283 views

Zoho Expense policies define the spending rules, such as limits and allowances, that employees must follow when submitting expenses. This overview explains how policies work and why they matter for cost control.

What expense policies do

A policy sets boundaries, for example spending limits, mileage rates or per diem allowances, and can be tailored for a department or group of users. Every organisation starts with a default policy with no restrictions, which admins can then adjust or add to.

How policies are enforced

Once a policy is configured and assigned, Zoho Expense checks expenses against it automatically. Any expense outside the policy’s limits is flagged as a violation in the relevant report, so it can be reviewed rather than approved automatically.

Why use policies

Policies reduce the need to manually check every expense against company rules, while still allowing different teams to have different limits based on their role, for example a sales team with higher travel allowances.

Frequently asked questions

Does every user need to be assigned a policy?

Zoho Expense applies a default policy with no restrictions to begin with; admins can then assign more specific policies to particular users or departments.

What happens when an expense breaks a policy rule?

It’s flagged as a policy violation in the employee’s report, so it can be reviewed before approval.

Can different teams have different spending limits?

Yes, you can create separate policies, for example giving a sales team a higher travel limit than other departments.
