Beyond creating and recording transactions, Zoho Books gives you extra tools for managing your branch data: searching by branch, bulk updating records, setting a primary branch, and editing or retiring a branch.

Advanced search by branch

Use Advanced Search on any transaction list page to quickly find records for a specific branch.

  1. Click the Search icon at the top right of the page.
  2. Choose the relevant module, such as Invoices or Bills.
  3. Click Advanced Search.
  4. In the filter options, select the Branch and add any other search criteria.
  5. Click Search to view the filtered results.

Bulk updating branches in transactions

If transactions were recorded under the wrong branch, you can bulk update them to the correct one.

  1. Go to the transaction module you want to update, such as Invoices.
  2. Select the transactions to update by ticking the boxes next to them.
  3. Click Bulk Update at the top.
  1. In the pop-up, choose Branch as the field to update, select the correct branch from the dropdown, and add a brief reason for the update for your audit trail.
  2. Click Update to apply the changes.

Marking a branch as primary

By default, your organisation’s original details are saved under the Head Office, marked as the Primary branch. You can change this to any other branch.

  1. Go to Settings in the top right corner.
  2. Select Branches under Organisation.
  3. Find the branch you want to set as primary, then either hover over it and click Mark as Primary from the dropdown, or click the star icon next to the branch name.

Editing branch details

  1. Go to Settings in the top right corner.
  2. Select Branches under Organisation.
  3. Click the branch name, or hover over it and click Edit from the dropdown.
  4. Make the necessary changes, such as the name or address, and click Save.

Marking a branch inactive or deleting it

If a branch has closed temporarily, mark it as inactive to stop further transactions while keeping its history. If it has closed permanently, you can delete it instead.

  1. Go to Settings in the top right corner.
  2. Select Branches under Organisation.
  3. Hover over the branch you want to manage.
  4. Click Mark as Inactive to disable new transactions through that branch, or Delete to remove it from your organisation permanently.

Frequently asked questions

Can I fix transactions recorded under the wrong branch?

Yes. Select the affected transactions in the relevant module and use Bulk Update to move them to the correct branch, with an optional reason for the audit trail.

What happens if I mark a branch as inactive instead of deleting it?

An inactive branch is disabled for new transactions but its history is kept, so you can reactivate it later. Deleting a branch removes it permanently.

Which branch is shown as the Primary branch by default?

Your organisation’s original details are saved under the Head Office, which is marked as the Primary branch by default. You can change this to any other branch.
