Use channels for team communication

Estimated reading: 3 minutes 20 views

Introduction

Effective team communication keeps projects moving and avoids missed updates. In Odoo, the Discuss app helps businesses organise conversations through channels. Channels act as dedicated chat spaces for specific teams, departments, or projects, making it easy to keep communication clear and structured.

Instead of long email threads, channels give your employees a central place to share updates, ask questions, and collaborate on tasks.

Step-by-Step Instructions

  1. Create a New Channel
  • Open the Discuss app.
  • In the sidebar, next to the Channels heading, click the (plus +) icon.
  • Give your channel a name, description, and choose its privacy settings.
  • To edit settings later, click the gear icon  next to the channel name.
  1. Set Privacy Options
  • Open the channel’s settings page and go to the Privacy tab.
  • Choose who can join by selecting from the Authorised Group drop-down menu.
  • Use Auto Subscribe Groups to automatically add members of specific groups (e.g. Sales Team, HR).
  • Note: Auto-subscribed users can still leave the channel if they wish.
  1. Invite Members to a Channel
  • From the channel settings, click on the Members tab.
  • Select Add a line, then choose a Partner or Guest from the list.
  • Alternatively, from the main Discuss dashboard, open the channel and click the add user icon (top-right), then select Invite to Channel.
  1. Use the Quick Search Bar
  • If you have 20+ channels, direct messages, or chats pinned, a Quick search bar appears.
  • Use it to instantly filter conversations and find the right channel.
  1. Find and Manage Channels
  • Click the gear icon  next to the Channels menu in the sidebar.
  • From here, you can join or leave channels.
  • Use filters to search for channels and save searches via Favourites → Save Current Search.
  • Wildcards are supported (use _ as a placeholder character).
  1. Link a Channel in Chatter
  • In any Odoo record (e.g. Sales Order, Project Task), type #channel-name in the chatter.
  • Select the channel name from the dropdown and post the note.
  • A clickable link to the channel will appear in the chatter.
  • Clicking it opens the channel chat window in the bottom-right corner, letting users jump straight into the discussion.

Tips

  • Organise channels by department (e.g. HR, Sales, Finance) to keep chats focused.
  • Use project-specific channels for clear collaboration.
  • Encourage your team to mute irrelevant channels so they don’t get overwhelmed.
  • Combine channels with Odoo’s notifications and mentions (@username) to make sure the right people see important updates.
