Introduction

Working with serial numbers and lots ensures full traceability of your products. Each movement of a tracked product is recorded in the system, allowing you to identify its location and history at any time. This helps businesses manage warranties, recalls, quality control, and compliance more effectively.

Step-by-Step Instructions

 

1. Enable Traceability Settings

  1. Go to Point of Sale → Products → Products.
  2. Select a product.
  3. In the Inventory tab, check one of the following:
    • Tracking by Unique Serial Number
    • Tracking by Lots

2. Import Serial Numbers or Lots

  1. Open a Sales Order (SO) or Quotation containing tracked products.
  2. Accept the prompt to load Lots/Serial Numbers linked to the SO.

 

3. Imported tracking numbers will appear below the tracked products.

4. To adjust them, click the list-view button next to the product.

3. Create Serial Numbers or Lots at the POS

  1. Add a tracked product to the cart.
  2. A pop-up window appears where you can type or scan the serial/lot number.
  3. To add multiple tracked units of the same product:
    • Enter one number → press Enter → a new line opens.

Note: If you change a tracked product’s quantity using the numpad, the list-view button turns red. Click it to complete the missing lot/serial numbers.

Tips

  • Scanning is faster than typing when handling large volumes of serials/lots.
  • Even though tracked products require lot/serial numbers, POS does not block checkout if they are missing. This flexibility avoids delays but you should assign them later for proper traceability.
  • Use unique serial numbers for high-value items (electronics, machines, etc.) and lots for batch-based goods (pharmaceuticals, food, cosmetics).
