Introduction

Odoo Point of Sale (POS) offers a Log in with Employees feature, allowing multiple users to log into a POS session.


This feature enables:

  • Selecting specific users who can access the POS.
  • Assigning basic or advanced rights to control permissions.
  • Tracking employees involved in each order for better reporting and analytics.

Configuration Access:
 Go to POS Settings → PoS Interface section → Log in with Employees.

Step-by-Step Instructions

 

Enable Multi-Employee Login

  1. Navigate to POS settings → PoS Interface section.
  2. Activate Log in with Employees.
  3. Add employees:
    1. Basic rights field employees with standard POS access.
    2. Advanced rights field employees with extended POS functionalities.
  4. Save the settings.

Notes:

  • Leaving Basic rights empty → all employees can log in.
  • Leaving Advanced rights empty → extended rights go only to Odoo users.

 

Employee Rights

Basic Rights

Employees with basic access can:

  • Session management: Open session, perform cash-in/out, lock session.
  • Sales transactions: Process sales, refunds, set customers, view order history.
  • Pricing & Discounts: Change pricelist, apply promotions, add discounts, change product price, switch fiscal positions.
Advanced Rights

Employees gain extended POS functionalities such as managerial controls.

 

Logging In

Once enabled, employees must log in before opening a POS session.
 They can log in using:

  • Employee badge scan
  • User selection: click the (users) icon and select their name
  • PIN code entry in the login screen

To switch users in an active session:
 Click the current employee’s name (top-right) → select another authorized employee.

 

Login with Badges

  1. Go to Employees module → Employee form view → Settings tab.
  2. Under Attendance / Point of Sale / Manufacturing:
    1. Enter a custom Badge ID manually, OR
    2. Click Generate for an automatic ID.
    3. Click Print Badge to create a scannable barcode.

To switch during a session:
 Lock the POS session → new employee scans their badge to log in.

 

Adding a PIN Code

  1. Go to Employees module → Employee form view → Settings tab.
  2. Under Attendance / Point of Sale / Manufacturing:
    1. Enter a numeric PIN Code.

Note: PIN must be digits only.

Tips

  • Use badges for quick and secure logins.
  • If no scanner is available, use the barcode icon to scan barcodes with a webcam.
  • Combine PIN codes with badges for extra security.
  • Keep Basic rights flexible if all employees should have POS access.
