Customer Invoices & bills and reports

Estimated reading: 2 minutes 235 views

Once customer invoices and vendor bills are recorded in Odoo Accounting, a set of built-in reports gives a clear view of what is owed and what is due. This article covers the invoice and bill lifecycle and the main reports used to monitor them.

From draft to posted

Invoices and bills are created as drafts, either from a sales order or purchase order or manually from the relevant journal, and have no accounting impact until confirmed. Clicking Confirm changes the status to Posted, generates the journal entry, and assigns a unique sequence number. A posted document can no longer be edited directly. Use Reset to draft first if a correction is needed.

Sending invoices

A preferred sending method can be set on the customer record, under the Accounting tab. From the invoice itself, click Send to email it or download a PDF. Several invoices can be sent together by selecting them in the Customers > Invoices list and clicking Send.

Payment and follow-up

An invoice is marked Paid once its accounting entry is reconciled with a matching bank transaction. Follow-up actions can be configured to remind customers automatically once an invoice becomes overdue by a set number of days.

Key reports

  • Partner Ledger (Accounting > Reporting > Partner Ledger): the balance of customers and suppliers.
  • Aged Receivable: outstanding customer invoices and their due dates.
  • Aged Payable: outstanding vendor bills and their due dates.
  • Profit and Loss: a summary of income and expenses.
  • Balance Sheet: a summary of assets, liabilities and equity at a point in time.
