Odoo Purchase requests for quotation (RFQs) let a business standardise ordering from vendors with varying prices and delivery times before an order is confirmed. This article covers preparing products and reading the RFQ dashboard.

What an RFQ is

An RFQ is a document sent to a vendor asking for pricing on products. Once the vendor agrees, confirming the RFQ turns it into a purchase order (PO).

Before you start: configure products

  1. Go to Purchase > Products > Products and open a product, or create a new one.
  2. Tick the Purchase checkbox under the product name so it can be ordered.
  3. In the Purchase tab, click Add a line to record a vendor and their price, so this information auto-populates whenever the product is added to an RFQ.

Prices and lead times for existing products can also be maintained in bulk from Purchase > Configuration > Vendor Pricelists.

The Requests for Quotation dashboard

Go to Purchase > Orders > Requests for Quotation to see every RFQ and purchase order, with a summary of their status. The dashboard highlights orders that are:

  • To Send: still in the RFQ stage and not yet sent to the vendor.
  • Waiting: sent by email and awaiting the vendor’s confirmation.
  • Late: RFQs or purchase orders where the Order Deadline has passed.

Filters and Group By options in the search bar make it easy to find RFQs by vendor, status or date.

Frequently asked questions

Do I need to configure products before sending an RFQ?

It helps: ticking the Purchase checkbox and adding a vendor price on the product form means prices auto-populate on new RFQs.

What does the Late filter show on the RFQ dashboard?

It lists RFQs or purchase orders where the Order Deadline has passed, even though the products can still be ordered.

Can I send an RFQ using a different currency?

Yes, once the currency is enabled in the Invoicing app settings, it can be selected on the RFQ.
