How to create quotations

An Odoo Sales quotation lists the products, quantities, prices and terms offered to a customer before a sale is agreed. This guide covers how to create a quotation in Odoo Sales and get it ready to send.

Before you start

Go to Sales > Configuration > Settings and check the Quotations & Orders section. Useful options here include Quotation Templates, Online Signature, Online Payment and Default Quotation Validity. Tick whichever apply, then click Save.

How to create a quotation

  1. Open the Sales app. The Quotations dashboard appears, showing quotations for the current user by default.
  2. Click New to open a blank quotation form.
  3. Enter the customer’s name in the Customer field. This is required, and if the customer already exists in Contacts, the Invoice Address and Delivery Address fields fill in automatically.
  4. If applicable, select a Quotation Template to apply standard products and terms.
  5. Check the Expiration date, which defaults to the validity period set in Settings (or on the template, if one is used).
  6. If relevant, choose a Pricelist and any Payment Terms for this quotation.
  7. In the Order Lines tab, click Add a product and select each product, adjusting quantities as needed. Alternatively, click Catalog to browse and add products from a visual catalog.
  8. Once the quotation is complete, click Send to email it to the customer, or Preview to see how it will appear to them.

How to use a quotation

Quotations sent to customers can be tracked from the Quotations dashboard. When a customer accepts, either by signing, paying online, or through a confirmation from the salesperson, the quotation becomes a sales order and moves into delivery and invoicing.

Frequently asked questions

What happens when a customer accepts a quotation?

The quotation is confirmed into a sales order, which can then be delivered and invoiced.

Can I reuse the same set of products on future quotations?

Yes. Save a quotation as a template, or create a quotation template from scratch, so the same products and terms can be applied quickly next time.

Do I have to fill in a delivery address separately?

Not if the customer already has one saved in Contacts. Odoo pulls the invoice and delivery addresses from the customer record automatically.
