How to manage deposits

Security deposits are common in rental businesses, protecting against damage or loss on cameras, vehicles or equipment. The Odoo Rental app can configure, collect and refund deposits alongside a rental order.

Configure a deposit product

1. Go to Rental > Products and click New.
2. Give it a name that identifies it as a deposit, for example “Digital Camera Deposit”.
3. Set Product Type to Service and Invoicing Policy to Delivered quantities.
4. Set the Sales Price to the deposit amount, and add Sales Taxes if needed.
5. Click Save.

Link the deposit to a rental product

1. Open the rental product and go to its Sales tab.
2. Add the deposit product under Optional Products, and confirm pricing is set on the Rental Prices tab.

When the rental product is added to an order line, a Configure your product pop-up appears, letting the deposit service product be added alongside it. This pop-up only appears once an optional product is configured.

Collecting deposits online

If selling through the Odoo eCommerce shop, add a note in the rental product’s eCommerce Description explaining that a deposit is required. The same Configure your product pop-up then offers the deposit when a customer adds the rental product to their cart.

Refunding deposits on return

When the rented item is returned, issue a credit note from the invoice to refund the deposit, and change the delivered quantity to 0 on the linked sales order.
