Introduction

Odoo Events makes it easy for businesses to create, manage, and promote in-person or online events. You can configure everything from ticket sales and registration desks to booths, sponsors, and tracks. With Odoo, event organizers can boost engagement, streamline logistics, and integrate events with Odoo Website, Sales, and CRM apps.

 

Whether starting from scratch or using pre-made templates, Odoo Events gives you all the tools to manage successful events.

Step-by-Step Instructions

 

  1. Access the Events Dashboard
  1. Open the Events app.
  2. The default Kanban view shows all events with their stages. You can also switch to List or Gantt views.
  3. Click New in the upper-left corner to open the event form.

Note: Some fields appear only if additional apps are installed. For example, the Twitter Wall appears if the Social Marketing app is installed.

 

Fill Out the Event Form

The event form is where you configure all important event details.

Key fields include:

  • Event Name: Required. Click the language tooltip to translate the name.
  • Date & Display Timezone: Required. Set the event date and time for your local timezone.
  • Language: Optional. Choose the language for event communications.
  • Twitter Wall: Feature social posts on X (formerly Twitter). Requires Social Marketing app.
  • Template: Select a pre-made template or create a new one.
  • Tags: Add relevant tags like Online or Conference. Enable “Show on Website” for visibility.
  • Organizer & Responsible: Choose the organizer and person responsible for the event.
  • Company: Only in multi-company environments.
  • Website: Restrict event to a specific website or leave blank for all.
  • Venue: Enter venue details or select from Contacts.
  • Exhibition Map: Upload a venue map image.
  • Limit Registrations: Set a maximum number of attendees.
  • Badge Dimensions & Background: Configure custom badges for attendees.
  1. Customize Event Tabs

At the bottom of the event form, configure additional features using four tabs:

Tickets Tab

  • Click Add a line to create tickets.
  • Choose a product of type Event Ticket.
  • Set ticket price, sales dates, and optional maximum quantity.
  • Optionally, assign a color and description for each ticket.

 

Communication Tab

  • Schedule marketing messages via Mail, SMS, Social Post, or WhatsApp.
  • Use pre-configured communications or add new ones.
  • Define intervals and triggers for each message (e.g., immediately after registration).

Questions Tab

  • Collect attendee information with customizable questions.
  • Options include Text Input, Selection, Name, Email, Phone, and Company.
  • Decide if questions are mandatory or asked once per order.
  • View responses in real time and generate reporting metrics.

Notes Tab

  • Add internal notes for staff.
  • Include Ticket Instructions for attendees that appear on their tickets.
  1. Publish the Event
  1. Click the Go to Website button at the top of the form.
  2. Customize the event page as needed. Refer to Odoo Building Block Documentation.
  3. Toggle the Unpublished switch to Published. The event is now visible to website visitors.
  1. Send Event Invites
  1. Open the desired event form in Events → Events.
  2. Click Invite to open a blank email form.
  3. Compose your email and include a registration link.
  4. Send invites to potential attendees.

Tip: Use the registration link to track attendees and integrate with Odoo CRM for lead generation.

Tips

  • Use event templates to save time when creating recurring events.
  • Enable Twitter Wall or Social Marketing to increase engagement.
  • Set up ticket tiers for VIP and standard attendees.
  • Use the Questions tab to gather valuable attendee information.
  • Always test your website page before publishing to ensure all event details display correctly.
