Introduction

Odoo Events makes it easy to create, manage, and sell event booths. You can configure booths, manage reservations, and even link them to sponsors.

Using event booths effectively helps maximize revenue, streamline event planning, and improve attendee experiences.

Step-by-Step Instructions

  1. Enable Booth Management

Before creating booths, activate the Booth Management feature:

  1. Go to Events → Configuration → Settings.
  2. Tick the Booth Management checkbox.
  3. Click Save.

Important: Activating Booth Management adds a new Product Type called Event Booth. All booths must be linked to a product of this type.

 

  1. Create Booth Categories

Booth categories group similar booths and set pricing.

  1. Navigate to Events → Configuration → Booth Categories.
  2. To create a new category, click New.
  3. Fill in the Booth Category Name (required).
  4. Optionally, upload an image for the category using the camera icon.
  5. In Booth Details, select an Event Booth Product and set a Price.
  6. In Sponsorship, tick Create Sponsor to automatically register booth buyers as sponsors.
  7. If needed, select Sponsor Level and Sponsor Type to indicate sponsor status.
  8. Use the Description tab to add details like booth size, amenities, or display options.
  9. Click Save & Close to finish.

 

Tip: To create a new Sponsor Level, type the level name and select Create and edit…. Configure its Ribbon Style (Gold, Silver, Bronze, or No Ribbon) for visual distinction.

 

  1. Add Booths to an Event
  1. Open an event via Events → Events.
  2. Click the Booths smart button on the event form.
  3. The Booths page shows booths in Kanban view with stages: Available and Unavailable.
  4. Click New to create a booth or select an existing booth to edit.
  5. Enter a Booth Name and assign a Booth Category.
    • Selecting a category auto-fills Product and Price.
  6. Update renter details manually if booths are sold offline.
  7. Change booth status manually or drag it between stages in Kanban view.

Note: The booths page can also be viewed in List, Graph, or Pivot views via icons in the upper-right corner.

  1. Sell Event Booths Online
  1. From the event form, click Go to Website to access the event page.
  2. Ensure the Get A Booth option appears in the event subheader menu:
    • Enter Edit mode on the website, then go to Customize → Sub-Menu (Specific) and toggle it on.
    • Or, in Debug mode, open the event form and tick Website Submenu.
  3. Click Get A Booth on the website.
  4. Visitors select a booth and location, then click Book my Booth(s).
  5. Fill in Contact Details or Sponsor Details.
  6. Click Go to Payment and complete checkout.

Note: If Create Sponsor was enabled for the booth, the form displays as Sponsor Details.

Once payment is confirmed:

  • The booth moves to the Unavailable stage.
  • Sponsor and Sales Order details are accessible via smart buttons on the event form.

Tips

  • Preconfigure booth categories with images, pricing, and sponsorship options to simplify sales.
  • Use the Available/Unavailable stages to track booth inventory quickly.
  • Enable Create Sponsor to automatically recognize sponsors and boost event credibility.
  • Encourage online booth booking via the Get A Booth page for smooth visitor experience.
