Introduction

With Odoo Events, you can provide attendees with a complete, interactive event website. Attendees can view all event tracks, submit talk proposals, and check the agenda. This helps event organizers manage talks efficiently and engage participants more effectively.

 

By enabling Schedule & Tracks, your event website becomes a hub for event schedules, favorite talks, and attendee proposals.

Step-by-Step Instructions

  1. Access the Event Website
  • Open the Events app and select your event.
  • Click the Go to Website smart button on the event form.
  • Alternatively, visit your company website, click Events in the header, and select the desired event.

The event website contains a subheader menu with links to:

  • Talks – Browse planned event tracks.
  • Talk Proposals – Submit proposals for new talks.
  • Agenda – View the full event schedule.

Enable Schedule & Tracks:

  1. Go to Events → Configuration → Settings.
  2. Tick the Schedule & Tracks checkbox.
  3. Click Save.
  1. Talks Page

The Talks page displays all planned tracks for the event.

  • Use the Search a talk… bar to find specific tracks.
  • Use the Favorites drop-down to filter tracks:
    • Favorites: Shows only favorited tracks.
    • All Talks: Displays all tracks.
  • Additional drop-downs appear if track tags or categories are configured.

Tip: To add tags, open a track form, type a new tag in the Tags field, and click Create and edit…. Assign a Color Index and Category for better organization.

  • Favorite a track: Click the empty bell icon next to a track title. A filled bell icon indicates the track is saved as a favorite.
  1. Talk Proposals Page

The Talk Proposals page allows attendees to submit proposals for new talks.

  1. Attendees fill out a custom online form with the talk details.
  2. An introduction or guidelines can be added to the page via the web builder by clicking Edit.
  3. Once submitted, proposals appear on the Event Tracks page in the Proposal stage, accessible via the Tracks smart button on the event form.
  4. Internal users can review, accept, or deny proposals.
  5. Accepted proposals can be moved to the next stage in the Kanban pipeline.
  6. To publish the talk on the website, open the track form, click Go to Website, and toggle the Unpublished → Published switch.
  1. Agenda Page

The Agenda page displays the event schedule in a calendar format, showing when and where tracks take place.

  • Click any track on the calendar to view its detail page.
  • Favorite a track by clicking the bell icon next to the track title.

This allows attendees to create a personalized schedule and easily navigate the event.

Tips

  • Encourage attendees to favorite talks to improve engagement.
  • Use tags and categories for tracks to make filtering easier.
  • Review talk proposals promptly to keep the event agenda organized.
  • Promote accepted talks on the event website for maximum visibility.
