Introduction

For many businesses, a single annual inventory count is sufficient to ensure stock accuracy. By default, Odoo schedules the next inventory count for December 31st of the current year after any inventory adjustment. However, businesses with high stock turnover or those requiring precise inventory control often need more frequent checks. This is where cycle counts become essential.

Cycle counting is a method used to regularly count specific inventory locations instead of the entire warehouse, allowing for continuous and more manageable inventory validation.

Why Use Cycle Counts?

 

Cycle counts ensure that critical inventory records remain accurate without the need for complete shutdowns or full physical counts. This method focuses on counting selected locations more frequently, helping to:

  • Reduce discrepancies between recorded and actual inventory,
  • Maintain smooth operations without large-scale disruptions,
  • Improve stock accuracy in high-traffic or high-value storage areas.

 

Configuration in Odoo

 

Step 1: Enable Storage Locations

 

Since cycle counts are performed per location, the first step is to activate the Storage Locations feature:

  1. Navigate to: Inventory app → Configuration → Settings
  2. Scroll to the Warehouse section
  3. Tick the checkbox next to Storage Locations
  4. Click Save

 

Set Inventory Count Frequency by Location

 

Once storage locations are enabled, you can define the frequency of inventory counts for each specific location:

  1. Go to: Inventory app → Configuration → Locations
  2. Open a desired location to access its settings
  3. Under the Cyclic Counting section, set the Inventory Frequency (Days) field to the desired number of days (e.g., enter 30 for a 30-day cycle)

 

Performing Cycle Counts by Location

 

To execute a cycle count for a specific warehouse location:

  1. Navigate to: Inventory app → Operations → Physical Inventory
  2. Use the Filters or Group By options (via the ⬇️ icon next to the search bar) to organize products by location
  3. Select Group By → Add Custom Group → Location to group inventory by storage location
  4. Perform counts for products listed under each location group

 

Helpful Tip: Filter Specific Locations

 

For warehouses with multiple locations:

  • Click Add Custom Filter under the ⬇️ icon
  • Set:
    • Field: Location
    • Operator: contains
    • Value: [Enter the location name]
  • Click Add to display only the desired location’s products

 

Adjust Full Inventory Count Frequency

 

While cycle counts handle location-specific inventory, Odoo also allows configuration of the annual full inventory count date:

  1. Go to: Inventory app → Configuration → Settings
  2. In the Operations section, find the Annual Inventory Day and Month
  3. Change the default 31 December to your preferred date (e.g., 15 June)
  4. Click Save
