Allocation reports

Introduction

When fulfilling sales orders (SOs) or sourcing parts for manufacturing orders (MOs), it’s common to face stock shortages. In these cases, you may need to prioritise certain orders to keep customers happy and production running smoothly.

Odoo’s Allocation Reports make this process easier. They allow you to reserve products for specific sales or manufacturing orders, so they’re not accidentally used elsewhere.

This guide explains how to enable and use allocation reports, with clear steps and practical tips for UK businesses.

Step-by-Step Instructions

  1. Enable the Allocation Reports Feature
  • Open the Manufacturing app.
  • Go to Configuration → Settings.
  • Tick the box for Allocation Report for Manufacturing Orders.
  • Click Save.
  1. Ensure Products Can Be Sold
  • Open the Inventory app.
  • Go to Products → Products.
  • Select the product you want to allocate.
  • Make sure the Can Be Sold box is ticked.
  1. Create a Manufacturing Order (MO)
  • In the Manufacturing app, go to Operations → Manufacturing Orders.
  • Click New.
  • Select a Product and enter the Quantity.
  • Click Confirm.
  1. Understand When the Allocation Button Appears
  • If there’s not enough stock to fulfil all orders, the Allocation smart button appears as soon as the MO is confirmed.
  • If there’s enough stock, the button appears only after the MO is marked as done by clicking Produce All.
  • If no orders need the product, the button won’t appear at all.
  1. Allocate Products or Components

Click the Allocation button to open the MRP Reception Report. This shows:

For Finished Products

  • Open delivery orders that still need the product.
  • Click Assign All to reserve enough for the whole order.
  • Or click Assign next to a specific quantity.

Example:

If an order needs 4 chairs and another needs 1, Assign All reserves 5 chairs. Assign next to “1” reserves just that one.

For Components

  • Open MOs needing the component.
  • Click Assign All or Assign for the required quantity.
  1. Unassign Products if Needed
  • After assigning, the button changes to Unassign.
  • Click it to release the stock so it can be allocated elsewhere.
  1. Print Labels for Allocated Products
  • After assigning, you’ll see Print Label(s) next to the order.
  • This generates a PDF with labels marking products for that specific order.

Tips

  • Prioritise urgent orders first to keep customers satisfied.
  • Regularly check allocation reports during busy periods.
  • Use labels immediately to avoid mix-ups in the warehouse.
  • Combine with Odoo’s Inventory Forecasting to plan better.
