How to manage deposits

Introduction

Security deposits are a standard practice in many rental businesses. Whether you rent out cameras, cars, or equipment, collecting deposits helps protect your business from damage or loss.


With the Odoo Rentals app, you can easily configure, collect, and refund deposits in just a few steps.

This guide shows you:

  • How to set up deposit products
  • How to add deposits to rental orders
  • How to refund deposits when rentals are returned

Step-by-Step Instructions

  1. Configure a Deposit Product

To require a deposit, you first need to create a deposit service product.

  1. Go to Rental → Products → New.
  2. Enter a product name that clearly identifies it as a deposit.
    • Example: Digital Camera Deposit
  3. Set these options:
    • Product TypeService
    • Invoicing PolicyDelivered quantities
    • Sales Price → amount of the deposit
    • (Optional) Add Sales Taxes if needed
  4. Click Save.
  1. Link Deposit to a Rental Product
  1. Open your rental product (e.g., Digital Camera).
  2. Go to the Sales tab.
  3. Add the deposit product under Optional Products.
  4. Set rental pricing under the Rental Prices tab.

When creating a rental order:

  • Add the rental product to the order line.
  • A Configure your product pop-up appears.
  • Select the deposit service product to include it.

 Note: The pop-up only appears if optional products are configured.

  1. Collect Deposits in eCommerce (Optional)

If you’re using Odoo eCommerce:

  • Go to the rental product’s Sales tab.
  • Add a note in eCommerce Description explaining that a deposit is required.
  • When customers add the rental product to their cart, the Configure your product pop-up will show the deposit as an option.
  • Once selected, both the rental product and deposit will be added to the cart.
  1. Refund Deposits When Products Are Returned

When the customer returns the rented item:

  1. Open the linked Sales Order.
  2. Change the Delivered Quantity of the deposit to 0.
  3. Create a Credit Note from the invoice to reimburse the deposit.

This ensures your customer gets their money back once everything is returned safely.

Tips

  • Always name your deposit products clearly, e.g., Car Deposit or Camera Deposit.
  • Use eCommerce descriptions to avoid confusion for online customers.
  • Keep deposits consistent across similar products to simplify accounting.
