Introduction

The Odoo Rental app is a powerful tool that helps you manage all your rental operations in one place. From creating rental quotations to confirming orders, scheduling pickups and returns, and invoicing customers, everything is streamlined.

 

With Odoo Rental, you can:

  • Send quotations quickly
  • Confirm and track rental orders
  • Schedule product pickups and returns
  • Manage deposits, delays, and pricing
  • Collect customer signatures online
  • Print pickup and return receipts

This guide walks you through the essentials of using Odoo Rental for your business.

Step-by-Step Instructions

  1. Dashboard Overview
  • Open the Rental app → you’ll land on the Rental Orders dashboard.
  • Each rental card shows the customer name, rental price, order number, and status.
  • Use the left sidebar filters to check rental status (pending, picked up, returned) or invoice status.

 If a rental card doesn’t show a status, it means the quotation is confirmed, but the product hasn’t been picked up yet.

  1. Configure Rental Settings

Go to Rental app → Configuration → Settings to adjust how your rentals work:

  • Default Delay Costs → charge extra for late returns.
  • Default Padding Time → add buffer time between two rentals.
  • Rental Transfers → enable stock deliveries and receipts for rentals.
  • Digital Documents → allow customers to sign agreements online.
  • Rent Online Options → set minimal rental durations and mark days when pickup/return isn’t allowed.
  1. Manage Rental Products
  • Go to Rental app → Products.
  • Only products with the “Can be Rented” option checked will appear here.
  • Each product card shows the product name, rental price, and image.
  1. Set Rental Pricing
  • Open a product → go to the Rental Prices tab.
  • Add multiple pricing options (e.g., daily, weekly, monthly).
  • Apply custom prices to specific pricelists if needed.
  • Set extra charges for late returns (per hour/day).
  • Add Security Time between rentals for cleaning or maintenance.

 Example:

  • 1 Day = $100
  • 3 Days = $250
  • 1 Week = $500
    If a customer rents for 8 days, Odoo automatically selects the cheapest option ($750 = 3 × 3 Days).
  1. Create a Rental Order
  1. Go to Rental app → Orders → Orders → New.
  2. Add the Customer and select the Rental Period.
  3. Add rental products under Order Lines.
  4. Update rental prices if the rental duration changes.
  5. Send quotation by email or confirm the order.
  1. Customer Signatures
  • After confirming an order, you can request a digital signature (if enabled in Settings).
  • Customers can sign documents online through the Customer Portal.
  • Signed agreements can be downloaded as PDFs for your records.
  1. Pickup and Return
  • When products are picked up → click Pickup → Validate.
  • When products are returned → click Return → Validate.
  • Status banners will update automatically to Picked-up or Returned.
  1. Print Pickup & Return Receipts
  • Open a rental order → click the  gear icon → Print → Pickup and Return Receipt.
  • A PDF receipt is generated for your customer.

Tips

  • Always set buffer times between rentals if products require cleaning or maintenance.
  • Offer discounts for longer rentals to encourage customer loyalty.
  • Use digital signatures to save time and reduce paperwork.
  • Regularly check your dashboard filters to track pending or overdue rentals.
