About Workspace Basic Information

Estimated reading: 3 minutes 60 views

Introduction

The Workspace Basic Information section lets you view and update key details about your workspace. Depending on your role, you’ll have different levels of access:

  • Super Admins and Admins can view and edit all information.
  • Managers can view the information, but cannot edit it.
  • Staff do not have access to this section.

This guide will walk you through how to access and manage your workspace name, email, status, and description.

Step-by-Step Instructions

Accessing Workspace Basic Information

  1. Click the Manage Business icon at the top-right corner of the page.
  2. Select Workspaces from the dropdown.
  3. Choose the workspace you want to manage.
  4. Click Basic Information to view or edit details.

Editing the Name of the Workspace

  1. In the Basic Information section, click the edit icon next to the Name of the Workspace field.
  2. Enter your preferred workspace name.
  3. Click Save.

Adding a Workspace Email Address

A custom workspace email is used to send notification emails related to appointments booked under that workspace.

Before You Begin:

  • If a workspace email is not set, the Super Admin or business email will be used.
  • This feature is available only to users on a Premium Zoho Bookings plan or a Zoho One subscription who signed up after October 15, 2020.
  • An email address can only be used in one place: business, workspace, or staff. You’ll need to remove it from any existing location before assigning it here.

To add a workspace email:

  1. Click Add Email.
  2. In the pop-up, enter the email address and click Add.
  3. Check your inbox and enter the 6-digit verification code.

4.Click Verify.

Note: If you don’t receive the code, you can click Resend Code to get a new one.

After verification, this email will be used as the sender address for notifications, but only if it’s configured from the Notifications tab.

Changing Workspace Status

The status field lets you enable or disable the entire workspace.

To update the status:

  1. Toggle the Status field to either enable or disable the workspace.

Note: Disabling a workspace will deactivate all its services. Reactivating the workspace will not automatically reactivate services—you will need to activate them manually.

Editing Workspace Description

  1. Click the edit icon next to the Description field.
  2. Enter your updated description.
  3. Click Save.

Tips

  • Always double-check the workspace email address before verifying, as this will be used for all notifications.
  • Use clear, descriptive names and descriptions so others can easily understand the purpose of the workspace.
  • Remember to manually reactivate services after enabling a previously disabled workspace.
