What is Data Backup?

The Data Backup feature in Zoho People lets Enterprise plan users securely transfer organisational data from Zoho’s servers to their own systems, with options for manual and scheduled backups.

What’s included in a backup

Backups automatically include employee information, leave records, performance data, other form-based data and uploaded files. Time logs, timesheets and attendance data are not included automatically and must be exported manually.

Availability: automatic backup is only available on the Enterprise plan. On other plans, you can manually back up individual forms using Operations > [Service] > [Form] > ellipsis (⋮) > Export.

How to schedule backups

  1. Go to Operations > Data Administration > Data Backup.
  2. Backup Now instantly generates a backup and emails it to your registered address.
  3. Choose how often scheduled backups run: Weekly,
  1. Every 2 Weeks,
  1. or Monthly.

For monthly backups you can choose a specific week and day, or an exact date of the month.

Backup security and logs

Backup files are sent via email and protected with a password included in the same message. Download links expire 7 days after issue. On the Data Backup page, the Backup Log shows completed backups

and failed backups, so you can track and verify their status.

A maximum of 5 backups can be performed each month, so plan scheduled backups accordingly.
