Introduction

If your business offers in-person appointments, Zoho Bookings allows you to add and manage physical locations for each workspace. This helps streamline your scheduling process and ensures both staff and clients have accurate meeting location details, reducing delays and confusion.

Access & Permissions

  • Available for all Zoho Bookings plans
  • Super Admins and Admins can add and manage locations
  • Managers can view location details
  • Staff can view location information within appointment summaries

How In-Person Locations Work

You can add multiple physical addresses under a single workspace. When a service is linked to a location, customers receive the location details through notifications (email/SMS) and see it on the confirmation page and calendar invites. This enhances clarity and minimizes scheduling issues.

 

Use Case Example

Imagine a sales team offering in-office product demos. Including specific location details (e.g., “Conference Room 3B”) in the appointment helps leads find the room easily—reducing delays and improving customer experience.

 

Steps to Add an In-Person Location

  1. Click the Settings icon at the top-right of the page and choose Workspaces.

2.Select the desired workspace from the left panel.

3.Click In-person Locations in the center panel.

4.Click + Add Location.

5.In the popup, fill in:

  • Location Name (e.g., “Downtown Branch”)
  • Location Details (e.g., “2nd Floor, Room 5A – Ask for Reception

6.Click Save

 

Alternate method:

You can also add a location from the Services menu:
Go to Services > Service Information > Preferred Meeting Mode > (+Add Location).

 

Steps to Link a Location to a Service

  1. Click Services in the top menu.
  2. Select the desired service from the left panel.
  3. Click Service Information in the center panel.
  4. On the right side, click the edit icon next to Preferred Meeting Mode.
  5. Choose the in-person location and click Save.

This links the selected location to the service. The same location can be used across multiple services in the same workspace.

 

What Happens When an Appointment Is Booked?

  • Customers will see the location on the:
    • Confirmation page
    • Booking summary
    • Email/SMS notifications (if enabled)
  • Staff will see the location in the appointment summary.
  • If the appointment is added to a calendar, the location appears in the location field.

How to Delete an In-Person Location

  1. Go to the In-person Locations section of a workspace.
  2. Hover over the location and click the delete icon.

What to expect:

  • The location will be removed from all services it’s linked to.
  • Future appointments won’t include this location.
  • Existing appointments booked before deletion will retain the old location details unless rescheduled

Tips

  • Use clear names and directions for each location to help customers arrive on time.
  • Include the meeting_info variable in your notification templates (email/SMS) to automatically add the location name and details.
  • In custom functions, the meeting_info variable also returns location details for in-person appointments.
