Introduction

Zoho Contracts allows you to import contracts in Draft, Signed, Active, or Expired status, enabling complete lifecycle management. Importing historical and signed contracts helps centralize records, maintain compliance, and track key contract milestones.

Step-by-Step Instructions

 

Import a Draft Contract

  1. Go to the Contracts
  2. Click Import Contract in the top-right corner.
  3. Select Draft in the Contract Status dropdown and choose the Contract Type.
  4. Complete the Contract Details form and click Next.
  5. Upload the draft document by dragging and dropping it or browsing from your system.
  6. Review the details and click Import.

The contract will appear in Draft status with the uploaded document.

 

Note: Contract timelines (effective date, expiry, and obligations) follow the selected Time Zone, which can be changed during the Draft stage.

 

Import a Signed but Not Yet Active Contract

  1. Navigate to Contracts > Import Contract.
  2. Select Signed and Not Yet Active, choose the Contract Type, and click Continue.
  3. Complete the Contract Details form and click Next.
  4. Upload the following files:
    1. Original Contract Document
    2. Signed Contract Document
    3. Digital Signature Certificate (if applicable)
    4. Click Import to add the contract to Zoho Contracts.

The contract will appear in Active status with its full history.

 

Import an Expired Contract

  1. Go to Contracts > Import Contract.
  2. Select Expired, choose the Contract Type, and click Continue.
  3. Complete the Contract Details form and click Next.
  4. Upload the Original Contract, Signed Contract, and Digital Signature Certificate (if applicable).
  5. Add Amendment, Extension, or Renewal Details in chronological order if available.
  6. Click Import to finalise.

The contract will be imported in Expired status with all supporting documents.

 

Best Practice for Contract Imports

  • Maintain clear naming conventions for documents before uploading.
  • Include digital signature certificates for compliance tracking.
  • Record all amendments and renewals to preserve a complete contract history.
