How to Manage a Contract?

Introduction

Efficient contract management involves updating details, editing documents, copying agreements, and removing outdated records. Zoho Contracts provides flexible options to edit, copy, and delete contracts while maintaining full control of the contract lifecycle.

Step-by-Step Instructions

 

Edit Contract Information

  1. Navigate to the Contracts
  2. Open the contract you wish to edit.
  3. Select the Summary tab in the contract details panel.
  4. Click Edit in the top-right corner.

Update the details in the Edit Contract Details form and click Update.

Key Notes:

  • All fields are editable in Draft
  • Some fields, such as Description, Requester Name, Department, Amount, Tax, and Reminders, are always editable.
  • Only the contract owner can edit contract details.

Edit a Contract Document

  1. Go to Contracts > [Select Contract].
  2. Click Edit Document or select it from More.
    1. The contract will revert to Draft status for editing.

Make the necessary updates and click Draft Complete.

Important:

  • You can edit a document in Approval Rejected, Negotiation – Review Received, and Sign Declined
  • Editing is not allowed in Approval Pending, Review Pending, or Sign Pending
  • Contract owners and collaborators with Write permission can make edits.

Edit a Document Field

  1. Open the contract from the Contracts
  2. Click the field you want to edit in the document.
  3. Update the Value in the Field Properties

Notes:

  • Fields can be edited only in Draft
  • Collaborators with Write or Fill Fields permission can edit fields.
  • Users with Fill Fields Only permission can update values directly in the document.

Copy a Contract

  1. Open the contract you want to copy.
  2. Click More > Create a Copy.
  3. Update the details in the Create a Copy
    1. Optionally, copy document fields, comments, collaborators, and signer details.
  4. Click Save and Continue to start authoring the new contract.

Tip: You can also create a copy directly from the Contracts list using More > Create a Copy.

Delete a Contract

  1. In the Contracts tab, click More > Delete Contract next to the record.

Notes:

  • Contracts in Signed or Active state cannot be deleted.

Tip: Contracts can also be deleted from the contract details page via More > Delete Contract.
