Managing Signature Process of a Counterparty Initiated Contract

Introduction

This guide explains how to manage contract signatures when initiated by a counterparty. It covers marking contracts as Signature In-progress, Signed, adding signers at different phases, and re-uploading signed documents

Step-by-Step Instructions

 

Mark Contract as Signature In-progress

  1. Navigate to the Contracts tab at the top of the page.
  2. Open the contract in the Negotiated state.
  3. Click Mark As at the top, then select Mark As Signature In-progress.
    • The contract status will change to Sign Pending.

Mark Contract as Signed

  1. Navigate to the Contracts tab.
  2. Open the contract in the Sign Pending state.
  3. Click Mark As Signed at the top.
  4. Review and update the following:
    • Contract Effective Date
    • Contract End Date
  5. Upload the following documents received from the counterparty:
    • Signed Contract (.pdf)
    • Digi Sign Certificate (.pdf)
      (Maximum size: 100 MB each)
  6. (Optional) Add signer details:
    • Check Add Signer Details.
    • Select signers from Organization Representatives and Counterparty Representatives.
    • To add external representatives, click Add under Other Representatives, then enter their name and email.
    • If needed, check Set Signing Order to define signing sequence.
  7. Once all details are updated, click Mark As Signed.

Add Signers for Different Phases

You can add signer details for Renewed, Amended, or Extended contracts.

  1. Navigate to the Contracts tab.
  2. Open the relevant contract.
  3. In the contract details panel, select the Signature tab.
  4. Choose the specific contract stage where signers need to be added.
  5. Add signers:
    • Select from Organization Representatives or Counterparty Representatives.
    • To include external signers, click Add under Other Representatives and provide name and email.
    • Check Set Signing Order if required.
  1. Click Save.

Re-upload Signed Documents

 

If corrections or updated files are required, you can re-upload signed documents.

  1. Navigate to the Contracts tab.
  2. Open the contract in the Signed state.
  3. Click Re-upload Signed Document at the top.
  4. Upload the following:
    • Signed Contract (.pdf)
    • Digi Sign Certificate (.pdf)
      (Maximum size: 100 MB each)
  5. Click Upload.

 Notes

  • Only .pdf files are supported for contract and certificate uploads.
  • Each file must not exceed 100 MB.
