Introduction

Setting up your organisation profile in Zoho Expense helps ensure your business details, branding, and communication settings are accurate and professional. From uploading your company logo to setting your primary contact and regional preferences, Zoho Expense gives UK businesses the flexibility to tailor the platform to suit their operations.

In this guide, we’ll show you step by step how to manage your organisation settings, customise branding, and update key business information in Zoho Expense.

Step-by-Step Instructions

 

1. Access Organisation Profile in Zoho Expense

To open your organisation settings:

  • Click Admin View in Zoho Expense.
  • Then do one of the following:
    • Click Settings on the left hand sidebar, or
    • Tap the Gear icon in the top right corner.
  • Under the Organisation section, click Organisation Profile.

 

2. Edit Company Details

You can update important business information including:

  • Organisation Name
    Edit the name entered during the initial setup if needed.
  • Company Address
    Provide your business address, including:
    • Street address
    • City
    • County
    • Postcode
    • Country
  • Contact Information
    Enter or update your:
    • Business phone number
    • Fax number (optional)
    • Website URL

 

3. Upload Your Company Logo

To give your expense reports a professional touch:

  • Click Upload Logo.
  • Choose an image file to upload.

Logo requirements:

  • Size: 240px × 240px
  • Resolution: 72 DPI
  • Max file size: 1MB

Your logo will appear on all PDF reports generated by Zoho Expense.

 

4. Set the Primary Contact

The primary contact is the email sender for all organisation wide communications.

To update or assign a new contact:

  • Click Configure Emails.
  • In the popup, select + Add Additional Contact.
  • Enter the user’s name and email address, then click Save.
  • To make that person the primary:
    • Hover over the contact.
    • Click the More icon (three dots).
    • Choose Mark as Primary.

All Zoho Expense emails will now be sent from this primary contact’s email.

 

5. Configure Regional Settings

Set your organisation’s preferences to align with UK standards:

 

  • Base Currency
    Select GBP or your preferred accounting currency.
      Note: You can’t change the base currency once you’ve recorded transactions.
  • Fiscal Year
    Choose your accounting year (e.g., April to March for UK tax purposes).
  • Language
    Select the language to be used in your Zoho Expense organisation.
  • Time Zone
    Set the correct time zone for accurate record keeping.
  • Date Format
    Pick a format that suits your business (e.g. DD/MM/YYYY for UK).

 

6. Customise Branding and Themes

Add a personal and visual identity to your Zoho Expense account:

  • Go to the Branding tab under Organisation Profile.
  • Upload your logo (same image as above).

 

  • Choose a colour theme that matches your brand style.

If you’re managing multiple organisations, using different themes can help you distinguish between them easily.
