How to Track Branch Tansactions

Introduction

After you create branches in Zoho Inventory, you can associate them with your transactions to track performance and ensure compliance across locations.

Associate Branches to Transactions

 

You can assign a branch to every transaction to ensure accurate tracking. Here’s how:

 

 Example: Associating a Branch with an Invoice

  1. Go to the Invoices
  2. Click + New (top-right) to create an invoice.
  3. Select the Customer and Place of Supply.
  1. Choose the relevant Branch from the dropdown.
    • Once selected, the branch’s GSTIN and address auto-fill in the invoice.
  2. Fill in the remaining details and click Save.

Applies to: Sales Orders, Purchases, Bills, Credit Notes, and more.

 

 Here are some points to note:

  • Transaction Imports: You can import past transactions and map them to the respective branches.
  • Existing Transactions: All transactions before enabling branches are auto-tagged to the Primary (Head Office) Branch.
  • Manual Branch Selection: New transactions default to the primary branch — you must manually select the correct branch.
  • Tax Calculation: Inter- or intra-state GST is calculated based on the selected branch’s location.
  • Transaction Series: The prefix/suffix and series are automatically applied per the selected branch.
  • Restrictions: You cannot convert a transaction (e.g., estimate to invoice) from one branch to another.
  • Branch Payments: Payments can be exchanged between branches for internal transfers or collections.

Generate Branch-wise Reports

 
Run Reports for Specific Branches:
  1. Go to the Reports
  2. Open the report you want to view (e.g., Sales by Customer, Purchases by Item).
  3. Click Customise Report (top-right).
  4. Under the General tab, locate Advanced Filters.
  5. Set the parameter to Branch.
  6. Choose the branch or branches you want to include.

7. Click Run Report.

Note: Some reports may not support this filtering option.

View Branch Details in Reports:
  • Go to the Reports module and open a report.
  • Click Customise Report.
  • Navigate to Show or Hide Columns.
  • Click the ‘+’ button next to the Branch column to include it.
  • Click Run Report.
