How to Customize notification sounds

Estimated reading: 3 minutes 24 views

Introduction

Keeping on top of customer messages is essential for providing great service. Zoho SalesIQ lets you customise your notification sounds so you can quickly identify the type and urgency of alerts without constantly checking your dashboard.

In this guide, you’ll learn how to adjust or mute sounds, assign different tones to visitor and operator events, and even add your own custom notification tone for incoming chats. These simple steps can help your team respond faster and stay organised.

Step-by-Step Instructions

Adjusting Notification Volume or Muting Sounds

To change the volume or mute your chat notifications, start by opening your SalesIQ dashboard. Look for the speaker icon in the top-right corner. Clicking it once will mute all chat sounds. If you want to turn the sounds back on, just click the muted speaker icon again. To adjust the volume, hover your mouse over the speaker icon and use the slider that appears to set it to your preferred level.

Setting Different Notification Sounds for Events

You can assign different sounds for various events, which makes it easier to recognise what’s happening at a glance. On the dashboard, click your profile picture to open the side panel, then click your name at the top to access your Profile Information page.

Here, click on the Notification settings, which is marked with a bell icon next to the gear icon. Notifications are split into two categories: Visitor Events and Operator Events. You can pick a different sound for each event by selecting from the dropdown menus. If you want to turn off the sound for a particular event, just choose “None.” All your changes will save automatically.

Importing a Custom Tone for Incoming Visitor Chats

If you want to use your own sound for incoming visitor chats, you can upload a custom tone. Note that this feature only works for incoming visitor chat notifications.

To do this, go to the Incoming Visitor Chat event in your Notification settings and open the dropdown menu. Scroll down and click on “Add custom tone.” Then browse your computer to select the audio file you want to use and open or save it. Your custom tone will then appear alongside the default options, and you can select it as your notification sound.

Visitor and Operator Event Notifications Explained

Visitor events include notifications like when a visitor starts a chat, when they’re about to leave, when they send a message during a chat, when the chat ends, or when they leave your website.

Operator events are sounds that alert you to internal actions, such as when a chat is transferred to you by another operator, when you’re invited to join a group chat, when a colleague sends you a message, or when a bot forwards a chat to you.

Tips

  • Choosing distinct sounds for high-priority alerts, like new visitor chats, helps you respond promptly. For less urgent notifications, using softer tones can keep distractions to a minimum. If you work in a shared office, consider using headphones to avoid disturbing others. Also, make sure your custom audio files are in supported formats like MP3 or WAV.
