Introduction

Zoho Sign provides administrators with powerful tools to manage users within their organisation’s digital signing workflow. From inviting new users to assigning roles, profiles, and document access, administrators can fully customise user permissions to maintain a secure and efficient signing environment.

Step-by-Step Instructions

 

Inviting or Adding Users

Administrators can add users to participate in the organisation’s document signing process.

 

Steps to Invite Users:

    1. From the Zoho Sign dashboard, hover over Settings.
    2. Click Users and Control, then select Users.
    3. Click Invite User.
    4. Enter up to three email addresses per invitation.
    5. Assign a role and profile to each invite.
    6. Click Invite.

Managing Pending Invitations

You can manage invitations that haven’t been accepted yet.

Steps:

    1. Navigate to the Pending Invitations tab.
    2. Click the send icon next to the email to resend (up to two times).
    3. To delete an invite, click the trash icon, then confirm with Yes.

Account Access and Ownership

Grant or Revoke Account Access:

  • Grant Access:
    • Select the user(s), go to More Actions > Grant Access.
  • Revoke Access:
    • Select the user(s), go to More Actions > Revoke Access.

Change Ownership of a User:

    1. Select the user.
    2. Go to More Actions > Change Ownership.
    3. Choose the new owner from the dropdown and click Change.

Deleting Users:

To remove a user from your organisation:

    1. Select the user
    2. Go to More Actions > Delete.
    3. Confirm deletion.

Sharing Documents Between Users:

Admins can share documents between users to support cross-functional collaboration.

 

Options for Sharing:

  • Share others’ documents with user
    • Grants selected user access to documents owned by other users.
  • Share user’s documents with others.
    • Grants multiple users access to documents owned by the selected user.

Tips

  • Use custom roles and profiles to match your organisation’s hierarchy
  • Regularly review and update user permissions to match changing roles
  • Ensure access is revoked when an employee leaves or changes departments
  • Use the sharing options to improve collaboration without compromising security
