Using the Trash and Restoring Documents in Zoho Sign

Introduction

The Trash section in Zoho Sign stores all deleted documents, templates, and Sign Forms along with their associated details similar to the list view in the Documents section. From here, you can filter, view, restore, download, or permanently delete items based on your needs.

Step-by-Step Instructions

Filtering Trash Items

You can quickly locate deleted items using the filter and search options in the Trash section.

To filter items:

  1. Go to the Zoho Sign dashboard.
  2. Click Settings in the left navigation panel.

 

3.Under General, select Trash.

4.Click the Filter button in the top-right corner.

5.Filter by:

  • Document name
  • Owner name
  • Folder name

You can also categorise your view using the dropdown at the top-right:

    • Sent
    • Received
    • Templates

 

Managing Deleted Items

You can perform several actions on items in the Trash:

 

1.View Document

 

To view the content of a deleted document:

  • Click the Actions icon (⋮) next to the item
  • Select View Document.

2.Restore a Document or Template

 

To restore deleted content to its original folder:

 

Option A:

  • Click the Actions icon (⋮) next to the item
  • Select Restore, then click Yes in the confirmation dialog box

Option B:

  • Select multiple items using the checkboxes
  • Click the Restore button in the top-left corner
  • Confirm by clicking Yes.
  1. Download Deleted Documents

You can download deleted files to your device.

    • Click the Actions icon (⋮) next to the document
    • Select Download.

Note:

  • If the document is in Draft or Recalled status, it downloads automatically
  • If signing is complete, select the files to include in the download before confirming
  1. Delete Permanently.

To remove an item completely from your account:

 

Option A:

  • Click the Actions icon (⋮) next to the item
  • Select Delete Permanently, then confirm by clicking Yes.

Option B:

  • Select multiple items.
  • Click the Delete button in the top-left corner.
  • Confirm deletion in the dialog box.

Tips

  • Regularly review the Trash to clean up unnecessary documents
  • Use the Restore option cautiously to avoid overwriting newer versions
  • Always double-check before performing permanent deletions.
